Job Description

Roles & Responsibilities

1. Documentation & Employee File Management

  • Maintain and update employee records (passport copies, visa documents, Emirates ID, medical reports, contracts, etc.).

  • Prepare offer letters, employment contracts, and deployment documentation.

  • Track visa processing, labour card renewals, and other statutory compliance requirements.

  • Ensure all records are accurately stored (physical and digital) in compliance with company policy.

2. Client & Candidate Coordination

  • Coordinate with clients regarding manpower requirements and documentation.

  • Liaise with candidates for onboarding formalities and submission of required documents.

  • Support mobilization and deployment processes.

3. Payroll & Attendance Support

  • Assist in collecting attendance sheets from client sites.

  • Coordinate with accounts for payroll data submission.

  • Maintain leave, overtime, and timesheet records.

4. Compliance & Government Portal Handling

  • Handle relevant government portals (e.g., MOHRE, immigration portals, etc.).

  • Track visa status, labour approvals, and related applications.

  • Ensure adherence to UAE labour law and company compliance standards.

5. Data Management & Reporting

  • Maintain databases of deployed manpower.

  • Generate daily/weekly/monthly operational reports.

  • Track contract expiries and renewal timelines.

6. General Administrative Support

  • Maintain filing systems and office documentation.

  • Coordinate with PROs, recruitment team, and accounts department.

  • Handle inbound and outbound operational correspondence.

Desired Candidate Profile

  1. Bachelor’s degree in Business Administration or any.

  2. 1–3 years of experience in a manpower/recruitment company (preferably UAE experience).

  3. Proficiency in MS Office (Excel, Word, Outlook).

  4. Strong documentation and record-management skills.

  5. High attention to detail and accuracy.

  6. Good communication and coordination skills.

  7. Ability to handle confidential information with integrity.
