Roles & Responsibilities

Job Purpose

To provide high-level administrative support in a dynamic, fast-paced school environment. This key position requires exceptional communication, time management, and problem-solving skills to ensure the smooth daily operations of the Executive Principal and Head of School s offices. This role demands delivering a professional and knowledgeable service to families, children, visitors and staff.

Key Accountability

Main Duties:

  • Provide comprehensive administrative and secretarial support to the Principal.
  • Manage their schedules and correspondence with the upmost level of confidentiality and accuracy.
  • Arrange travel and coordinate expenses as required.
  • Coordinate Executive Team Meetings; Strategic Governance Group Meetings; Whole-School Senior Leadership Team Meetings, Whole School Events Meetings, and any other meetings as required.
  • Serve as the main point of contact for internal and external stakeholders, including Aldar HQ, ADEK, and other Aldar and ADNOC schools as required.
  • Assist with the preparation of documents, reports, presentations and data-management.
  • Coordinate school-wide communications, events and meetings on behalf of the Principal.
  • Manage the ADEK portal, including creating the school s academic calendar and assisting with the Principal s approvals.
  • Maintain a professional and knowledgeable service to families, children, visitors and staff.
  • Welcome visitors to our school and address inquiries from families, visitors, staff and children, representing the Principal offices as required.
  • Support the FOH teams during busy periods.

Specific Duties:

  • Oversee all logistic and administrative arrangements for school inspections, including Irtiqaa, BSO, National Identity, serving as the liaison for our external inspectors.
  • Provide support to the academic and administration team with all required approvals.
  • Monitor ELT and Admin Leave Trackers to ensure efficiency and organisation.
  • Champion whole-school involvement, promoting a spirit of unity and collaboration throughout the community.

Desired Candidate Profile

REQUIREMENTS/strong>

Minimum Qualifications: Minimum diploma / degree of higher education; or Related industry qualification, of graduate level, for the assigned functional area(s).

Minimum Experience: 5+ Years Experience in similar role

Job Specific Knowledge & Skills:

  • Proven experience in a senior administrative role.
  • Outstanding organizational and multi-tasking abilities.
  • Excellent written and verbal communication skills in English.
  • High-level professionalism and discretion.
  • Strong IT skills, including proficiency in Microsoft Office.
