Roles & Responsibilities
Role Purpose
We are looking for a highly analytical and detail-oriented Payroll Specialist who is passionate about numbers, payroll accuracy, systems, automation, and data management. The ideal candidate enjoys working with large sets of data, optimizing processes through technology and AI tools, and ensuring employees are paid accurately and on time.
This role requires a strong understanding of payroll operations, advanced Excel skills, system proficiency, and the ability to manage confidential information with professionalism and integrity. The candidate should also be people-oriented, approachable, and capable of supporting employees with payroll-related queries efficiently.
Key Responsibilities
Payroll Management
Process end-to-end payroll accurately and within defined timelines.
Maintain payroll records including salaries, allowances, deductions, overtime, leave, EOSB, and reimbursements.
Ensure payroll compliance with company policies and labor regulations.
Coordinate with HR, Finance, and employees regarding payroll inputs and validations.
Handle payroll reconciliations and generate payroll reports for management review.
Manage final settlements, leave encashments, and employee benefits calculations.
Data & Reporting
Analyze payroll data and identify discrepancies, trends, and process improvement opportunities.
Prepare monthly, weekly, and ad-hoc payroll reports and dashboards.
Maintain accurate employee master data within HRMS/payroll systems.
Ensure high levels of data integrity, confidentiality, and accuracy.
Systems & Automation
Work with payroll software, ERP systems, biometric attendance systems, and HRMS platforms.
Utilize advanced Excel functions (Pivot Tables, VLOOKUP/XLOOKUP, formulas, dashboards, data validation, etc.).
Leverage AI tools and automation platforms to improve payroll efficiency and reporting accuracy.
Identify opportunities to streamline payroll workflows and reduce manual processes.
Employee Support
Act as the point of contact for payroll-related employee queries.
Provide clear explanations regarding salaries, deductions, leave balances, and benefits.
Coordinate with internal departments to resolve payroll discrepancies promptly.
Compliance & Audit
Maintain payroll documentation and audit-ready records.
Support internal and external payroll audits.
Ensure compliance with statutory requirements, labor laws, and company policies.
Required Skills & Competencies
Strong numerical and analytical skills.
Advanced Microsoft Excel proficiency.
Strong understanding of payroll systems and HRMS platforms.
Comfortable working with data, reports, formulas, and reconciliations.
Knowledge of AI tools, automation tools, and digital process improvement.
Excellent attention to detail and accuracy.
Strong organizational and time-management skills.
Ability to handle confidential information professionally.
Strong communication and interpersonal skills.
Problem-solving mindset with a passion for process optimization.
Desired Candidate Profile
Preferred Qualifications
Bachelor’s degree in HR, Finance, Accounting, Business Administration, or related field.
Minimum 3–5 years of payroll experience.
Experience handling payroll for large employee volumes is preferred.
Experience in UAE payroll and labor law is an advantage.
Experience with ERP/HRMS systems such as SAP, Oracle, Zoho, Odoo, or similar platforms is preferred.
