Job Description

As a Personal Assistant, you will play a critical role in the efficient and smooth-running operations of an executive or individual. Your primary objective will be to provide a comprehensive, confidential, and professional administration service to the individual you are assisting. You will be responsible for managing various tasks, including scheduling appointments, organizing meetings, making travel arrangements, and handling correspondence. This role requires a high level of discretion, organizational skills, and the ability to manage multiple tasks simultaneously in a fast-paced environment. Responsibilities
  • Manage and maintain executive schedules, including meetings, appointments, and travel arrangements.
  • Organize and coordinate meetings and events, ensuring all details are handled efficiently.
  • Screen and respond to telephone calls, emails, and inquiries from clients and partners.
  • Prepare reports, presentations, and other documentation as requested by the executive.
  • Handle confidential and sensitive information with the utmost discretion and professionalism.
  • Conduct research and compile information to assist the executive in decision-making processes.
  • Assist with personal errands and tasks, such as gift shopping or addressing household matters.
  • Ensure office supplies are well-stocked and coordinate orders when necessary to prevent shortages.
  • Liaise with internal staff and external vendors to manage projects and schedule deliveries.
  • Draft and edit correspondence, ensuring clarity and professionalism in all communications.
  • Monitor and manage the executive's budget, expense reports, and financial documentation.
  • Provide backup support to other administrative team members as required during absences.

Requirements
  • Proven experience working as a Personal Assistant or in a similar role for at least two years.
  • Excellent verbal and written communication skills for effective interaction with clients.
  • Strong organizational skills with the ability to multitask and set priorities effectively.
  • Proficient in using office software, such as Microsoft Office Suite and scheduling tools.
  • High level of discretion and confidentiality in handling sensitive information.
  • Ability to anticipate executive needs and adapt to changing priorities and deadlines.
  • Flexibility to work irregular hours and manage unexpected changes in the executive s schedule.
