Job Description

Roles & Responsibilities

1. Building Operations & Maintenance

a. Overseeing daily building operations (security, cleaning, parking, elevators, HVAC, utilities).

b. Scheduling and supervising maintenance, repairs, and upgrades.

c. Ensuring safety systems (fire alarms, sprinklers, emergency exits) are regularly inspected.

d. Managing service contracts (security, cleaning, landscaping, pest control, etc.).


2. Tenant & Occupant Relations

a. Serving as the primary contact for tenants and occupants.

b. Handling tenant inquiries, complaints, and service requests.

c. Ensuring tenant satisfaction to reduce turnover and maintain high occupancy.

d. Coordinating tenant move-ins and move-outs.


3. Financial Management

a. Preparing and managing the annual operating budget.

b. Collecting rent, service charges, and other fees.

c. Managing accounts payable/receivable.

d. Reporting regularly to owners/investors on financial performance.

e. Controlling operating expenses and negotiating vendor contracts.


4. Legal & Compliance

a. Ensuring the property complies with local building codes, health, and safety regulations.

b. Preparing and reviewing lease agreements, renewals, and legal documentation.

c. Managing insurance requirements and claims.

d. Keeping updated with property laws, zoning rules, and regulations.


5. Health, Safety & Security

a. Implementing building safety protocols and emergency evacuation plans.

b. Coordinating with security teams and local authorities.

c. Conducting periodic safety drills.

d. Ensuring compliance with fire, occupational health, and safety standards.


6. Administration & Reporting

a. Maintaining accurate records of leases, maintenance schedules, and financials.

b. Preparing reports for building owners or the management board.

c. Overseeing technology systems (BMS Building Management System, access control, surveillance).


7. Capital Improvements & Long-Term Planning

a. Planning for future upgrades (energy efficiency, modernization, sustainability).

b. Overseeing large-scale renovations or refurbishments.

c. Advising owners on property value enhancement opportunities.
