Job Description
Roles & Responsibilities
Purpose The QHSE Admin is responsible for providing comprehensive administrative and coordination support to the QHSE function to ensure effective implementation, monitoring, and documentation of Health, Safety, Environment, Good Distribution Practices (GDP), TAPA, and Radioactive compliance requirements. The role requires a highly organized and detail-oriented administrator with strong capabilities in report writing, document control, database management, procedure compilation, and the use of Microsoft Office tools (Excel, Word, and PowerPoint). The position supports both Head Office and project-level QHSE activities, contributing to regulatory compliance, audit readiness, and continuous improvement of the QHSE management system. Key Responsibility Areas · Prepare, process, and manage Local Purchase Orders (LPOs) and related administrative requirements for suppliers and contractors, in coordination with the QHSE Manager. · Monitor supplier and contractor documentation to ensure compliance with QHSE requirements and contractual schedules. · Maintain and control all QHSE documentation received, ensuring version control, traceability, and compliance with company document control procedures. · Manage and support QHSE system requirements for the Head Office in consultation with the QHSE Manager. · Establish, update, and maintain QHSE registers, logs, databases, and records in an accurate and timely manner. · Provide administrative support to project QHSE personnel, including coordination of safety equipment ordering and tracking. · Maintain and update the corporate roster for ATC QHSE personnel movements. · Assist in drafting internal QHSE audit reports and support follow-up actions to ensure timely closeout of findings from internal and external audits. · Track audit action items and maintain evidence of closure for compliance and audit verification. · Support the compilation of monthly QHSE reports, including collection, validation, and presentation of statistical data. · Ensure accurate entry and maintenance of QHSE performance data and statistics. · Ensure timely and efficient distribution of internal and external QHSE alerts, notices, and communications as directed by the QHSE Manager. · Coordinate ATC health and wellness programs in consultation with the QHSE Manager. · Perform other QHSE-related administrative duties as required to support departmental objectives and operational needs. Key Performance Indicators · 100% maintenance and availability of QHSE documents and records. · Accurate and timely preparation of QHSE statistical data. · Proper organization, integrity, and accessibility of the QHSE database. · High-quality preparation and documentation of QHSE meeting minutes. · Timely preparation, monitoring, and follow-up of supplier and contractor formalities in line with agreed schedules. Competencies · Excellent written and verbal communication skills. · Strong planning, organizational, and time-management abilities, with the capacity to deliver under pressure. · Advanced working knowledge of Microsoft Excel, Word, and PowerPoint. · Sound understanding of health and safety administrative requirements and compliance documentation. · High attention to detail, confidentiality, and professionalism.
Desired Candidate Profile
Education · Graduate from a recognized university. · IOSH or NEBOSH certification is mandatory. · ISO certifications (ISO 9001, ISO 14001, ISO 45001) are an added advantage.
