Roles & Responsibilities
As a Real Estate Admin, you will play a critical role in ensuring the smooth operation of a real estate agency or department. You will be responsible for providing comprehensive administrative support to real estate professionals, allowing them to focus on sales and client engagement. You will manage communication channels, organize documentation, and oversee the daily activities that keep the office running efficiently. This role requires a proactive approach, excellent organizational skills, and the ability to multitask effectively. Your efforts will contribute to the overall success and productivity of the team, ensuring all real estate transactions are executed seamlessly and efficiently. The position offers an exciting opportunity to learn and grow within the real estate industry.
Responsibilities
- Coordinate and manage daily office operations to ensure efficiency and productivity.
- Assist real estate agents with administrative tasks including scheduling and document management.
- Prepare and manage real estate documents such as purchase agreements and closing statements.
- Maintain and update client databases with complete and accurate information.
- Facilitate communication between clients, real estate agents, and other stakeholders.
- Handle correspondence, emails, and phone calls in a professional and timely manner.
- Support marketing initiatives with advertising, social media posts, and client follow-ups.
- Organize and manage files and records to ensure accurate record-keeping and confidentiality.
- Coordinate and contribute to the planning of meetings, open houses, and other events.
- Perform general clerical duties such as filing, photocopying, and data entry tasks.
- Assist with budget tracking and financial reporting to support office management.
- Ensure compliance with all real estate laws and ethical standards in documentation handling.
Requirements
- High school diploma or equivalent; additional qualifications in real estate are a plus.
- Proven experience in an administrative or support role, preferably in real estate.
- Strong organizational and multitasking skills with attention to detail and accuracy.
- Excellent verbal and written communication skills for effective client interactions.
- Proficiency in office software including MS Office, CRM systems, and communication tools.
- Ability to handle confidential information with discretion and professionalism.
- Strong problem-solving skills and a proactive approach to assisting the team.
