Job Description

Roles & Responsibilities

  1. Receive, register, check in and out guests according to Hotel Brand and legal requirements and enter guest details into the PMS
  2. Be familiar with all guest rooms to ensure rooms sales are maximised in accordance with selling strategies

  1. Be aware of functions, facilities, promotions and events taking place in the hotel
  2. Process all cashiering transactions in accordance with Front Office Accounting Standards.

  1. Responsible for float and ensure all accounting procedures are adhered to.
  2. Receive, process and confirm all reservations whether inbound or outbound
  3. Be fully conversant with hotel rooms, availability and rates and be able to sell accordingly
  4. Follow all Credit Policy and procedures
  5. Maintain all documentation as required
  6. Liaise and follow up any actions required for guests
  7. Control and monitor the allocation of rooms
  8. Courteously handle all incoming and outgoing telephone calls for guests and staff
  9. Be fully conversant with all hotel emergency procedures
  10. Ensure correct billing of all telephone charges to guests and monitor all administration extensions

  1. Process wake up calls

  1. Maintain guests voice mail system and manual message system
  2. Maintain all additional equipment required for all voice communication
  3. Receive guest enquiries and appropriately handle and log
  4. Liaise with relevant departments on all elements including but not limited to out of order, and guest needs maintenance, refurbishment.

  1. Maintain parcel log and follow procedures.

  1. Maintain log for all incoming / outgoing keys.

  1. Maintain privacy of guests with reference to room numbers, names, nationality, etc.

  1. Weekly safebox inventory.

  1. Update guest registration cards, update guest profile.

  1. Report anything considered as health or safety hazard & be aware of the IHG Health & Safety Policy
