Roles & Responsibilities
We are seeking a proactive and highly organized Receptionist/Administration Assistant who will also serve as a Personal Assistant to the Managing Directors. This role requires a professional individual who can manage front-desk operations, provide administrative support, coordinate with office support staff, and handle day-to-day tasks for the MDs.
The ideal candidate should demonstrate excellent communication, multitasking, and problem-solving skills.
Desired Candidate Profile
· Female Candidate
· Bachelor’s degree or Diploma in Business Administration or related field (preferred).
· Proven experience as a Receptionist, Administrative Assistant, or Personal Assistant.
· Strong organizational, time management, and multitasking skills.
· Excellent communication skills (verbal and written) in English; Arabic is an advantage.
· Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
· Professional appearance, positive attitude, and customer-service orientation.
· Ability to handle sensitive information with the highest level of integrity.
Key Responsibilities:
Reception & Front Office Management:
· Greet and welcome visitors in a professional and friendly manner.
· Manage incoming calls, emails, and correspondence, ensuring prompt and accurate handling.
· Maintain the reception area, ensuring it is always tidy and presentable.
· Handle courier services, deliveries, and general inquiries.
Administrative Support:
· Prepare, maintain, and organize company documents, files, and records.
· Assist in scheduling meetings, coordinating conference rooms, and arranging refreshments when required.
· Support HR and administrative functions as needed.
· Manage office supplies purchase and inventory, ensuring timely replenishment.
Personal Assistant to the MDs:
· Manage MDs’ calendars, including scheduling appointments, meetings, and travel arrangements ( Ticketing, Hotels, etc.).
· Prepare meeting agendas, minutes, and relevant documentation.
· Handle confidential information with discretion and professionalism.
· Provide day-to-day assistance to MDs for both professional and administrative matters.
Supervision of Office Support Staff:
· Coordinate and oversee the tasks of office boys to ensure cleanliness and smooth day-to-day office operations.
· Assign and monitor duties such as serving refreshments, maintaining pantry supplies, and general upkeep of the office.
· Ensure adherence to company standards of service and presentation.
Reporting Line:
Reports directly to the HR.
Work Location & Hours:
Based at the company’s head office.
Standard office hours: flexibility may be required for MD support.
