Job Description

Roles & Responsibilities

  1. Greet patients professionally and ensure a welcoming clinic environment

  2. Manage appointment scheduling, confirmations, cancellations, and follow-ups

  3. Handle patient registrations, update records, and maintain confidentiality

  4. Answer and manage all incoming calls, WhatsApp messages, emails, and walk-ins

  5. Coordinate patient flow with doctors, nurses, and technicians.

  6. Respond to patient inquiries regarding treatments, services, pricing, and packages

  7. Generate invoices, receipts, and process payments (cash, card, insurance, online)

  8. Maintain daily cash collections, reconciliation, and reporting to accounts.

  9. Maintain organized filing of consent forms, medical records, and administrative documents

  10. Manage inventory records for consumables, stationery, and office supplies

  11. Coordinate with vendors, suppliers, and service providers

  12. Prepare daily, weekly, and monthly administrative and operational reports

  13. Conduct inbound and outbound marketing calls to promote clinic services and offers

  14. Perform cold calls to generate leads and convert inquiries into appointments

  15. Follow up with existing and inactive patients for repeat visits, packages, and promotions

  16. Maintain and update patient and lead databases accurately

  17. Support execution of marketing campaigns, events, and promotional activities

Desired Candidate Profile

* Diploma or Bachelor’s degree in Business Administration, Healthcare Management, or a related field * Minimum 1–3 years of experience in a clinic, hospital, or healthcare setting (aesthetic/dermatology experience preferred) * Excellent verbal and written communication skills in English (Arabic or other languages is an advantage) * Strong customer service and interpersonal skills * Experience in appointment scheduling, billing, and handling patient records * Ability to perform marketing support, cold calling, and patient follow-ups confidently * Basic knowledge of clinic software, MS Office, and billing systems * Sales-oriented mindset with ability to upsell services ethically * Strong organizational skills and ability to multitask in a fast-paced environment * Professional appearance, positive attitude, and ability to work as part of a team
