Job Description

Our company is seeking a professional, personable, and highly organized Receptionist to join our team. As the first point of contact for our clients, visitors, and team members, the Receptionist plays a crucial role in creating a welcoming environment and setting the tone for our office's atmosphere. Your primary responsibility will be to manage the front desk and provide general administrative support across the organization. You'll ensure smooth operations through effective communication, timeliness, and attention to detail. This role is perfect for someone who enjoys interacting with people, has exceptional customer service skills, and thrives in a dynamic and fast-paced environment.


Responsibilities
  • Greet clients and visitors with a positive and helpful attitude upon arrival.
  • Manage and direct incoming phone calls to the appropriate personnel or department.
  • Maintain reception area and all common areas in a clean and tidy manner at all times.
  • Assist with a variety of administrative tasks including copying, faxing, and taking notes.
  • Schedule appointments and accurately maintain calendars for various departments.
  • Receive and process incoming mail and packages, ensuring timely distribution.
  • Provide basic and accurate information in-person and via phone or email as required.
  • Monitor office supplies inventory and place orders when necessary to ensure stock availability.
  • Coordinate with our office management team to ensure all front desk activities run smoothly.
  • Handle sensitive information in a confidential manner to uphold privacy standards.
  • Collaborate with other departments to ensure seamless operations and effective communication.
  • Assist with planning and execution of office events and meetings as required.

Requirements
  • Previous receptionist experience or experience in a related customer service role is preferred.
  • Excellent verbal communication skills and a professional telephone manner are essential.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Proficient in Microsoft Office Suite and have basic computer and internet navigation skills.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • High school diploma or equivalent required; additional qualifications are a plus.
  • A friendly and approachable disposition with a focus on providing exceptional customer service.
