Job Description
Roles & Responsibilities
- Sales Transaction Management:
Documentation Processing: Prepare, verify, and process all sales-related documents, including Expression of Interest (EOI) forms, Reservation/Booking Forms, Offer-to-Purchase (OTP) agreements, and Sales Purchase Agreements (SPAs).
Compliance & RERA: Ensure all transaction paperwork adheres strictly to the Real Estate Regulatory Agency (RERA) guidelines and all relevant UAE property laws.
Document Tracking: Track the entire lifecycle of a sales file, ensuring timely collection of client signatures, submission to the Legal department, and final processing. - Financial & Invoicing Coordination:
Payment Tracking: Monitor client payment schedules, issue payment reminders, and liaise with the Finance/Accounts department to generate accurate invoices and receipts.
Commission Processing: Process and track commission claims for in-house agents and external brokers/agencies, ensuring all contractual conditions are met before payment. - CRM & Database Management:
Data Integrity: Maintain absolute accuracy and up-to-date information for all leads, clients, sales activities, and property inventory within the company’s Customer Relationship Management (CRM) system.
Reporting: Generate daily, weekly, and monthly sales reports, performance summaries, and activity trackers for the Sales Manager and Director. - Sales Team Support & Coordination:
Provide administrative support to the Sales Managers and Property Consultants, including scheduling high-level meetings, preparing presentation materials, and managing travel logistics if required.
Act as the operational liaison between the Sales team and other departments (e.g., Marketing, Legal, Post-Sales/Customer Care).
Manage and update the central project inventory list, ensuring sales agents have the latest unit availability and pricing information. - Broker Network Management (If applicable):
Assist with the onboarding and registration of external real estate broker companies.
Ensure all necessary documents (e.g., Form A, Form B, Form I) are correctly prepared and filed for Trakheesi permits.
Desired Candidate Profile
- Experience: Minimum of 2-4 years of experience in a Sales Administration, Sales Coordination, or Back-Office role, with a strong preference for experience within the Real Estate Developer sector in Dubai.
- Education: Bachelor’s Degree in Business Administration, Finance, or a related field.
- Technical Skills:
Advanced proficiency in Microsoft Excel (for tracking and reporting).
Strong working experience with CRM software (e.g., Salesforce, HubSpot, or a real estate-specific CRM).
Familiarity with RERA requirements and property portals is highly desirable. - Core Competencies:
Exceptional Attention to Detail and Accuracy (Critical for contract and financial document processing).
Strong organizational and time-management skills with the ability to handle a high volume of transactions under pressure.
Excellent written and verbal communication skills in English.
Professional, reliable, and discreet approach to handling confidential client and company data.
