Job Description

Roles & Responsibilities

Position Overview: The Sales Administrator provides vital support to the sales team by managing

administrative tasks, coordinating sales activities, and ensuring the smooth flow of information

between departments and clients. This role helps maximize the efficiency of the sales process and

enhances the overall customer experience.

Key Responsibilities

  • Order Processing & Documentation

o Prepare quotations, sales orders, and invoices accurately and in a timely manner.

o Track orders from initiation to delivery, ensuring correct documentation and

approvals.

  • Customer & Sales Support

o Respond to client inquiries, provide product/service information, and follow up on

pending quotes or proposals.

o Maintain positive relationships with customers by handling issues promptly and

professionally.

  • Data Management & Reporting

o Generate regular sales reports, pipeline updates, and performance metrics for

management review.

  • Coordination & Communication

o Liaise with procurement, finance, and operations teams to ensure timely delivery and

accurate billing.

o Assist the sales team with scheduling meetings, preparing presentations, and

organizing events.

  • Compliance & Record Keeping

o Ensure adherence to company policies, pricing guidelines, and contract terms.

o Maintain well-organized digital and physical files of customer data and agreements.

Desired Candidate Profile

Qualifications & Skills

  • Bachelor’s degree in Business Administration, Marketing, or related field (or equivalent

experience).

  • Proficiency in MS Office (Excel, Word, PowerPoint).

  • Strong organizational and multitasking abilities with excellent attention to detail.

  • Effective written and verbal communication skills.
