Roles & Responsibilities

Job Summary:

The Role is responsible for supporting the sales team, coordinating activities to ensure smooth sales operations and maintaining strong customer relationships. The role includes but not limited to managing communication between the sales department, production team and clients to ensure orders are processed efficiently and customers are satisfied. He/she must handle administrative tasks, sales reporting and customer inquiries while ensuring all order processes run smoothly from inquiry to dispatch.

Job Responsibilities:

1. Sales Support:

· Assist the sales team with daily sales operations, such as preparing quotes, proposals and presentations.

· Act as a liaison between the sales team and customers to answer questions, provide updates and ensure timely communication.

· Prepare and maintain sales-related documents, including contracts, order confirmations, invoices and delivery schedules.

· Coordinate and track the progress of customer orders, ensuring timely processing, production and delivery.

· Handle customer complaints and concerns, ensuring resolution or escalating issues to senior management.

2. Order Processing:

· Receive, review and process purchase orders from customers.

· Coordinate with the production and logistics teams to ensure timely production and delivery of goods.

· Track and manage the inventory levels to ensure product availability.

· Confirm orders with customers, providing details on lead times, costs and delivery schedules.

· Communicate any changes or delays in orders to customers promptly.

3. Customer Relationship Management:

· Maintain and update customer databases and ensure accurate records of all customer interactions.

· Build and maintain strong relationships with existing customers to secure repeat business.

· Respond to customer inquiries via phone, email and in person, ensuring high levels of customer satisfaction.

4. Sales Reporting:

· Prepare and provide regular sales performance reports for management, detailing order volumes, revenues and key sales metrics.

· Monitor sales targets and assist the sales team in meeting or exceeding those goals.

· Support in forecasting sales trends, identifying potential sales opportunities and analyzing sales data for strategic planning.

5. Coordination with Internal Teams:

· Work closely with the production, logistics and quality control teams to ensure orders meet customer specifications.

· Provide timely updates to the production team regarding customer requirements and order changes.

· Assist in resolving any operational or production issues that may affect order delivery timelines.

6. Administrative Tasks:

· Maintain an organized filing system for sales documents, reports and correspondence.

· Schedule and coordinate meetings, client visits and trade show participation for the sales team.

· Update and assist in managing the ERP system, ensuring data accuracy and proper usage.

· Support marketing efforts by coordinating promotional materials and distributing them to customers.

Desired Candidate Profile

Qualifications and Skills:

· Bachelor’s degree/Diploma in Printing Technology, business administration, marketing, or a related field preferred.

· Previous experience in a similar role, preferably in the manufacturing printing and packaging industry or Fresh Graduate in Printing Technology.

· Strong communication and interpersonal skills, with the ability to handle customer inquiries professionally.

· Detail-oriented with excellent organizational and multitasking abilities.

· Proficiency in Microsoft Office (Excel, Word, PowerPoint) and ERP software.

· Ability to work under pressure and meet tight deadlines.

· Familiarity with inventory management and production coordination is a plus.
