Job Description

Roles & Responsibilities

The Admin is responsible for controlling inventory, overseeing daily operations, and managing small teams within specific areas. The role ensures accurate communication of performance information and effective implementation of work processes.

Desired Candidate Profile

Core Responsibilities

  • Support ordering personnel by monitoring inventory and stock consumption. Ensure established procedures are followed for receipt, issue, decanting, and delivery of goods. Notify the Stores team promptly of low stock levels or unexpected usage changes.

  • Lead and manage small teams to ensure productivity, quality, safety, and compliance with hygiene standards. Regularly communicate operational challenges to the Stores leadership team.

  • Maintain Stores areas to high operational standards. Ensure clean and safe workspaces, proper storage and rotation of stock, equipment maintenance, and compliance with safety regulations.

  • Accurately maintain stock transactions in the ERP system to reflect physical inventory.

  • Provide operational support across all areas of the department as needed.

  • Complete all necessary documentation related to stock control, hygiene, accounts, and internal controls, ensuring proper records maintenance.

  • Verify that received goods meet quality, quantity, expiry, and hygiene standards. Monitor temperature-sensitive items and ensure appropriate storage.

  • Record inbound shipments accurately in the system and dispatch relevant documents to concerned departments.

  • Process invoices for all received goods by verifying quantities, unit prices, and purchase orders, entering data into the SAP ERP system.

  • Generate reports on slow-moving/non-moving items for management review.

  • Forecast stock requirements on a weekly and monthly basis and communicate with suppliers accordingly.

  • Monitor stock levels and movements in Food & Non-Food Stores (Warehouse).

  • Conduct inventory audits, including cycle counts and monthly stock counts, and determine par levels.

  • Troubleshoot vendor delivery issues and manage return processes.

  • Adhere to personal protective equipment (PPE) requirements.

  • Prepare regular operational reports.

Self-Management Responsibilities

  • Set personal performance goals with line manager and ensure they are achieved.

  • Attend training programs as directed by management or HR.

  • Pursue ongoing professional development to enhance skills and competencies.

  • Communicate effectively with team members and stakeholders.

  • Follow all company policies, procedures, and health, safety, and environmental standards.

  • Perform additional tasks as assigned by management or HR.

Competencies and Skills

  • Proficiency in English.

  • Working knowledge of Microsoft Office (Outlook, Excel, Word).

  • Mandatory experience with ERP systems, inventory software, and SAP.

Years and Type of Experience

  • Minimum 3 years in airline inventory, bonded and food warehousing. Experience with freezers, chillers, and forklift operation is advantageous.

  • Experience in in-flight catering preferred.

  • Experience handling alcohol products.

  • Knowledge of bar/dry stores/amenities replenishment based on packing lists.

Education and Qualification

  • Completion of secondary education. Additional relevant qualifications or training are preferred.
