Job Description

Roles & Responsibilities

The Faculty of Postgraduate Medical Education at the University of Balamand is seeking a proactive and detail-oriented Secretary to support the academic operations of all medical specialties (departments and divisions). The role involves coordinating, organizing, and facilitating a wide range of academic activities, including conferences, lectures, workshops, and departmental/divisional meetings and events.

Key Responsibilities

  • Coordinate and schedule all academic activities across medical specialties, including conferences, lectures, seminars, and workshops.
  • Communicate effectively with chairs of departments, head of divisions, faculty members, Physicians, residents, hospitals representatives, University departments, and external partners to ensure smooth planning and execution of events.
  • Maintain organized records, calendars, agendas, and documentation related to academic programs and activities.
  • Organizes all logistics related to the academic activities.
  • Prepares materials, takes minutes, keep attendance records, and follow-up on all communications.
  • Provide administrative support to departments and divisions.
  • Ensure timely dissemination of information and updates to all concerned parties.
  • Handle day-to-day office tasks, including correspondence, filing, and responding to inquiries.
  • Support the onboarding and coordination of new academic cycles and activities as needed.

Desired Candidate Profile

Required Qualifications

  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Fluency in English (French is a plus).
  • Proficiency in standard office software and digital communication tools.
  • Ability to multitask, prioritize, and work independently.

Preferred Qualifications

  • Bachelor s degree in a relevant field.
  • Previous administrative or academic coordination experience.
