Job Description

Employees in this job provide office support services in order to ensure efficient and effective working environment. To perform duties such as office coordination, scheduling meetings, receiving and maintaining office records, reports, and correspondence pertaining to the management staff's area of responsibility with the instruction of the Medical Director and the Hospital Administrator

Responsibilities

  1. Receive, direct and relay telephone messages and fax messages.
  2. Assist in scheduling of meetings for doctors and management staff which include giving of notices and taking minutes.
  3. Screen and direct visitors to the appropriate offices.
  4. Maintain the office files.
  5. Type circulars and documents ordered by the Medical Director and Hospital administrator
  6. Coordinate and distribute communications issued by the Medical Director to all departments as instructed.
  7. Operate standard office equipment including a microcomputer, calculator, fax machine, copier, printer, scanner and other related peripheral equipments.
  8. Type the doctors’ duty rosters drafted by each clinical department heads for the medical director’s approval and to distribute accordingly to concerned departments.
  9. Prepare indent for office supplies.
  10. Assist in preparing staff memorandum from Human Resources department for the medical director’s approval.
  11. Assist in giving office communications by the Hospitall Administrator to all other departments.

Perform other related duties as required.

Desired Candidate Profile

Qualifications

  1. Graduate of a Secretarial Course or its equivalent
  2. Six months or more in healthcare set up
  3. Excellent command of oral and written English. Arabic language is desirable but not essential.
  4. Responsibility for own continued professional growth beyond minimum preparation.
  5. Must be well versed with Word and Excel.
