Roles & Responsibilities

Senior HR Executive-Payroll

Job Purpose: Performs the day-to-day responsibilities in preparing the payroll requirements including financial data entry, review, and analysis. The job holder works closely with the Payroll Accountant in processing the payroll for all employees.

Key Responsibility Areas:

  1. Manage the payroll structure in compliance with current labor laws and company regulations
  2. Facilitate the implementation of employee benefits
  3. Analyze data on payroll and evaluate the impact of its administration to employees and the organization

Major Activities:

Payroll Process

  • Facilitate time and attendance monitoring through HRIS (Human Resources Information System)
  • Prepare computation of salaries, overtime, and any applicable deductions in the HRIS
  • Review manual attendance, if applicable, from employees as a basis for salary and overtime computation
  • Validate records of absences, lateness, and overtime of production line employees through confirmation with line managers or section foremen
  • Review employee leaves in HRIS such as vacation, personal, business, and sick leave as a basis for salary computation
  • Facilitate and coordinate for the biometrics enrollment for new employees
  • Ensure registration of employee information in ERP system by the PRO
  • Input, review, and update employee financial information in HRIS based from signed contract or approved salary adjustment report
  • Reconcile payroll records from HRIS and ERP system prior to bank transmission
  • Prepare and balance period-end reports and reconcile issued payrolls to WPS (wage protection system)
  • Ensure accurate and timely preparation of payroll in coordination with the Payroll Accountant
  • Review and process financial claims for salary discrepancy or retroactive increases from HRIS
  • Communicate actively with Accounting Department and IT Department for any payroll policy, accounting, and system issues and bring about enhancements if necessary
  • Administer all HRIS payroll enhancements, support resolution of system issues and prepare various reports for payroll related projects.
  • Implement HR policies related to payroll and provide recommendations for improvement of compensation strategy of the organization
  • Assist in the implementation of HR policies related to compensation.

Employee Benefits

  • Monitor and update employee leave time in the HRIS such as vacation, personal, business and sick leave
  • Provide technical assistance to staff regarding leave related issues and inquiries
  • Review lieu day requests from the HRIS to verify the eligibility of the request and conducted overtime

Payroll Administration

  • Provide employment verification information to authorized third-parties
  • Generate various data request including payroll report from HRIS or ERP system
  • Prepare payroll related letters and spreadsheet preparation as required
  • Maintain, update, and create payroll reports for audit and internal management
  • Perform additional duties as assigned by the seniors/ management.

Desired Qualification and Skills:

  • School / Degree Attainment: Bachelor's degree in business management or any finance related field.
  • Minimum three (3) to five (5) years of experience as a Payroll Executive in UAE.
  • Proven experience in prioritizing and handling multiple transactions simultaneously.
  • Understanding of payroll legislation and processes.
