Roles & Responsibilities

Responsibilities

Vendor Lifecycle Management

  • Oversee supplier registration, onboarding, qualification, and renewal processes.
  • Lead vendor due diligence and verification with legal, finance, and compliance teams.
  • Manage vendor master data in ERP/supplier management systems for accuracy and completeness.
  • Review and validate supplier documentation against company policies and regulations.
  • Develop vendor segmentation strategies based on risk, spend, and operational criticality.
  • Ensure compliant deactivation or suspension of vendors when necessary.

Supplier Relationship and Performance Management

  • Build and maintain productive, ethical relationships with key suppliers.
  • Conduct supplier performance reviews and develop scorecards/KPIs.
  • Analyze supplier performance data to identify trends, risks, and improvement opportunities.
  • Facilitate quarterly business review (QBR) meetings with suppliers and stakeholders.
  • Support corrective action plans and supplier development programs.
  • Serve as escalation point for complex vendor issues, ensuring business and compliance alignment.

Governance, Compliance, and Audit Coordination

  • Ensure adherence to vendor management policies and procurement governance frameworks.
  • Collaborate with audit, legal, and compliance teams for audit readiness.
  • Maintain an auditable vendor document management system.
  • Prepare compliance reports and respond to audit findings.
  • Contribute to vendor risk management frameworks and monitor certifications/licenses.

Reporting, Analysis, and System Administration

  • Develop and present vendor management dashboards, reports, and analytics.
  • Use ERP systems and tools (Oracle Fusion, Power BI, Excel) for supplier performance insights.
  • Track vendor KPIs, SLAs, and procurement metrics; recommend corrective actions.
  • Participate in system enhancements and automation initiatives.
  • Ensure timely reporting for regulatory, management, and strategy purposes.

Strategic and Operational Support

  • Collaborate with procurement leads on sourcing strategies and supplier selection.
  • Provide supplier intelligence, benchmarking, and market analysis.
  • Support procurement transformation and digitalization initiatives.
  • Promote sustainability, diversity, and ethical sourcing.
  • Mentor junior team members in vendor management best practices.

Continuous Improvement and Cross-Functional Collaboration

  • Identify process improvement opportunities and recommend policy enhancements.
  • Lead small-scale vendor management improvement projects.
  • Partner with Finance, Legal, IT, and Operations to streamline processes.
  • Contribute to procurement excellence initiatives through committees and workshops.

Requirements and Skills

Technical Competencies:

  • Strong understanding of vendor lifecycle processes and supplier evaluation frameworks.
  • Proficiency in ERP systems, supplier databases, and performance monitoring tools.
  • Advanced skills in Microsoft Office 365 (Excel, Word, PowerPoint) and data analysis software.
  • Ability to design and interpret supplier KPIs, scorecards, and audit trails.
  • Knowledge of procurement laws, ethical sourcing standards, and contract compliance.

  • Minimum 4 years in vendor management and supplier governance.
  • Experience managing vendor evaluation, onboarding, and performance improvement.
  • Experience with ERP systems (preferably Oracle Fusion) and supplier management portals.
  • Track record in procurement audits, compliance reviews, and process optimization.
  • Exposure to data-driven decision-making, supplier risk assessment, and engagement frameworks.
