Serialization and Master Data Coordinator

To support the daily operations related to combined field of master data maintenance, BOM, product serialization, and inventory management. The role ensures accurate and compliant data management in both ERP and serialization systems, smooth stock movement control, and proper documentation in coordination. Acts as backup for both departments.

1. Master Data and Bill of Material (BOM) Maintenance

• Support the creation and update of product master data and Bills of Material in the ERP system (Sage X3).
• Help manage component codes, product codes, and instruction sheets for all manufacturing sites.
• Ensure data accuracy and consistency across systems and provide updates or corrections as required.
• Assist in change management related to new product introductions, transfers, and artwork updates.

2. Inventory and Stock Control

• Support tracking of stock movements in and out of the main warehouse and consignment sites.
• Prepare periodic inventory reports and assist in reconciliation between ERP and physical stocks.
• Follow up with sites on stock discrepancies, disposals, or adjustments, root causes.
• Help maintain documentation related to material movements and product availability.

3. Documentation and Data Control

• Maintain and organize instruction sheets, Finished Product Forms, and serialization documentation.
• Support audit readiness by ensuring traceability and accuracy of data and records.
• Prepare regular data control reports and assist in maintaining KPI trackers for serialization and master data.

4. Continuous Improvement and Compliance

• Support process improvements to enhance data accuracy, reporting efficiency, and traceability.
• Ensure that all activities comply with company SOPs, GxP requirements, and relevant regulatory guidelines.
• Participate in training sessions to build knowledge of serialization, data management, and ERP functionalities.
• Continuously searches for improvement in process, SOPs, data control and consistency.

5. Pharmaceutical Serialization Support

• Acts as a backup for the Serialization Lead, supporting all core serialization activities. Namely
• Oversees and maintains serialization master data globally and locally, ensuring data integrity between ERP and serialization platforms, and supervising subcontractor sites.
• Assist in the coordination of serialization activities with manufacturing sites, ensuring accurate data uploads and timely file transfers to the relevant national and central systems.
• Monitor serialization transactions and alerts, prepare reports, and support investigations in case of data mismatches or system errors.

• Implementation of serialization flow for new markets or product launches (testing, data checks, SOP updates).
• Develops and tracks KPIs and reports, collaborates with cross-functional teams to ensure timely compliance with serialization regulations, and troubleshoots serialization and automation challenges.
