Job Description

Roles & Responsibilities

Keep track of all documents related to each project while making sure they’re accurately and properly documented, filed and stored in its’ management system.

Key Accountabilities:

  • Maintain, track, and control all project-related documents such as incoming/outgoing correspondences, drawings, technical submittals, inspection reports, and meeting minutes.
  • Prepare and submit project documentation, including Pre-Qualification, Site Condition Surveys, Snag Reports, Incident Reports, PRS, KPIs, Risk Assessments (RA), Method Statements (MS), HSE Reports, Progress Reports, and Work Completion Reports.
  • Manage and issue critical project documents like NFC (Notice for Commencement), RFI (Request for Information), CVI (Confirmation of Verbal Instruction), RFM (Request for Material), and Site Instructions.
  • Record and distribute documents such as MIRs (Material Inspection Requests), WIRs (Work Inspection Requests), and other technical correspondences.
  • Set up and maintain a centralized filing system (electronic and hard copies) for easy retrieval of documents.
  • Prepare, log, and update registers for all incoming and outgoing transmittals, drawings, RFIs, letters, and other project communications.
  • Follow up with internal teams and subcontractors on pending documents and approvals to ensure timely closure of open items.
  • Coordinate with clients, consultants, and subcontractors to submit documents and obtain necessary approvals.
  • Regularly backup project documents and maintain an archiving system for final project handovers.
  • Support the Project Close-Out Process by compiling necessary documentation as per project requirements.
  • Assist in obtaining permits, regulatory approvals, and NOCs in coordination with the concerned departments.

Desired Candidate Profile

  • Exceptional level of computer literacy in Windows – Word, Excel, Cloud Document Management Systems
  • Good communication skills in English, Urdu / Hindi, and Arabic are an advantage
  • Bachelor's Degree or Diploma
  • Minimum of 3 years of Document Control / Management experience.
  • Ability to operate individually with supervision.
  • Solid interpersonal, written, and communication skill
