Roles & Responsibilities

Job Purpose

The Supply Chain & Import Operations Coordinator will be solely responsible for managing all aspects of supply chain and import logistics — from purchase planning to delivery execution. This role ensures smooth inventory flow, strong supplier relationships, and cost efficiency. Working directly with the Founder, the Coordinator will play a vital role in supporting the scalability, sustainability, and profitability of the company’s operations.

Key Responsibilities

Order Processing & Coordination

  • Create and process purchase orders and ensure timely delivery of goods.
  • Follow up with suppliers to meet operational timelines and quality expectations.

Inventory Management

  • Monitor and control stock levels to maintain optimal inventory balance.
  • Analyze turnover trends and forecast purchasing needs to prevent shortages and minimize overstock.

Supplier & Freight Management

  • Manage communications with vendors and international freight forwarders.
  • Compare quotations, negotiate rates and terms, and finalize freight partners.
  • Ensure all imports comply with customs, shipping, and documentation regulations.

Cost Optimization

  • Negotiate pricing, contracts, and payment terms to achieve cost efficiency and margin protection.
  • Identify opportunities to streamline procurement and logistics expenses.

Documentation & Compliance

  • Maintain accurate and up-to-date records of all purchase orders, shipment details, and contracts.
  • Ensure readiness for internal audits and compliance with import/export and product registration requirements.

Market Research

  • Research and evaluate new suppliers, products, and materials to enhance competitiveness and efficiency.
  • Stay updated with market trends, logistics developments, and regulatory changes.

Reporting & Analysis

  • Generate periodic purchasing, inventory, and cost analysis reports.
  • Identify trends, risks, and improvement areas for better decision-making.

Cross-Department Collaboration

  • Coordinate with finance, marketing, fulfillment partners, and customer service teams to align purchasing and inventory with business goals.
  • Ensure supply chain readiness for seasonal and promotional activities.

Business Sustainability Contribution

  • Assess and improve supply chain workflows for scalability and long-term sustainability.
  • Focus on reducing waste, maximizing operational efficiency, and supporting overall company growth.

Desired Candidate Profile

Qualifications & Skills

  • Bachelor’s Degree in Supply Chain Management, Logistics, Business Administration, or a related field.
  • 3–5 years of experience in supply chain, procurement, or import operations (preferably in FMCG, retail, or e-commerce).
  • Strong knowledge of international logistics, shipping terms (Incoterms), and customs regulations.
  • Proficiency in MS Office (Excel, Word, PowerPoint) and ERP or inventory management systems.
  • Excellent negotiation, analytical, and communication skills.
  • High attention to detail with strong organizational and multitasking ability.
  • Self-driven, proactive, and capable of working independently with minimal supervision.

Additional Notes

  • This is a full-time role requiring ownership, accountability, and hands-on problem-solving.
  • Business-related travel or operational expenses (e.g., freight office visits, customs handling, document pick-ups) will be covered or reimbursed.
  • Regular reporting and communication are expected to ensure full visibility and agility across operations
