Job Description

Roles & Responsibilities

  • Plan, coordinate, and manage domestic travel arrangements (flights, trains, hotels, local transport) for employees, vendors, and clients visiting project sites, factories, or corporate offices.
  • Ensure efficient and cost-effective travel bookings in alignment with our travel policies and budget guidelines.
  • Liaise with travel partners, hotels, and transport vendors to negotiate rates and ensure reliable services.
  • Coordinate group travel logistics for project teams, site visits, audits, or training programs across multiple locations.
  • Maintain accurate travel records including travel requests, bookings, cancellations, and related approvals.
  • Raise and track travel-related invoices; verify against bookings, coordinate with Finance for timely payments, and resolve discrepancies.
  • Support employees with travel queries and issue resolution related to bookings, delays, or last-minute changes.
  • Ensure timely sharing of travel itineraries, tickets, and hotel confirmations with all stakeholders.
  • Assist with visa applications and documentation for international travel, if required.
  • Maintain strong coordination with internal departments such as Projects, HR, Finance, and Admin to ensure seamless travel planning.

Desired Candidate Profile

  • Excellent coordination and communication skills (written & verbal).
  • High attention to detail with the ability to manage multiple travel requests simultaneously.
  • Proficiency in using travel portals, airline/hotel booking platforms, and MS Office tools (Excel, Outlook, Word).
  • Experience in managing travel invoices, vendor communication, and reconciliation.
  • Strong organizational and problem-solving abilities.
  • Customer-focused and proactive approach with a sense of urgency.

Qualifications

  • Bachelor’s degree in any discipline.
  • 1–3 years of experience as a Travel Coordinator / Executive / Admin Assistant handling travel bookings.
  • Prior experience in a corporate setup or travel agency will be an added advantage.
