Job Description
Roles & Responsibilities
Lead the conceptualization and creation of compelling event proposals in partnership with the creative team, tailoring ideas to client needs and objectives.
- Present proposals to clients, clearly articulating concepts, strategies, and budgets to secure buy-in.
- Oversee the end-to-end planning and execution of events, ensuring alignment with organizational goals and client expectations.
- Provide leadership and guidance to the events team, setting clear performance goals and encouraging collaboration.
- Conduct regular team meetings to review progress, set objectives, and provide feedback for improvement.
- Coordinate with internal departments to allocate resources, manage logistics, and assign event responsibilities.
- Negotiate contracts with vendors, secure essential services, and oversee all logistical arrangements.
- Review contracts with senior management, ensuring clarity and alignment with operational goals.
- Manage budgets, monitor expenses, and optimize labor costs to maintain financial control while delivering high-quality outcomes.
- Ensure all goods and services are delivered on time and in line with contractual terms and client expectations.
- Address and resolve operational challenges promptly during event planning and execution.
- Build strong client relationships through open communication and a focus on delivering exceptional experiences.
- Prepare and submit detailed post-event reports and documentation for internal and client review.
- Collaborate with the finance team to ensure accurate invoicing, billing, and expense reconciliation.
Skills and Experience Required
- Proven expertise in ideation and proposal development, with the ability to translate creative concepts into actionable plans.
- Strong presentation skills to effectively communicate ideas and budgets to clients.
- Leadership and team management experience, inspiring teams to achieve excellence.
- Comprehensive knowledge of event planning, logistics, and execution, with a focus on creativity and efficiency.
- Ability to manage multiple projects, events, and direct reports simultaneously in a high-pressure environment.
- Expertise in contract negotiation, compliance, and ensuring all terms are met.
- Familiarity with vendors, suppliers, and cost benchmarks for event-related services.
- Excellent written and verbal communication skills for collaboration with internal teams, vendors, and clients.
- Exceptional organizational skills, with a track record of initiative and delivering results.
- Strong problem-solving abilities, with a proactive approach to addressing challenges effectively.
