Job Description
Roles & Responsibilities
Role Purpose: Provide administrative, operational, technical, and HR support across UAE, Qatar, Kuwait, and KSA. Handle office operations, system maintenance, coordination with teams, vendors, and clients, and ensure smooth day-to-day functioning. Key Responsibilities: • Answer calls, manage reception, visitors, meetings, and calendars • General admin tasks: filing, scanning, typing, copying, document control • POF process (UAE, Qatar, Kuwait & KSA) • Maintain Time Tracking (TT), Zoho client contracts & Zoho WorkDrive • Client invoicing, delivery orders, payment follow-up • Order processing (POs to vendors, follow-ups) • Vendor/Partner & SQ1 agreement coordination • Zoho Desk ticket monitoring: assignment, follow-up, escalation when required • Daily timesheet monitoring, reminders, and approvals • Daily technical team attendance upload • Monitor onsite sales meetings • HR support: schedule interviews (MS Teams), manage calendars (Outlook), follow up with candidates • Support HR coordination with departments • Arrange employee birthdays and send-off events (Qatar) • Courier management (incoming/outgoing, tracking, invoices, shipping documents) • Office & pantry supplies management; ensure cleanliness and organization Working Relationships: • Internal: Coordinate with regional teams across diverse functions • External: Vendors, suppliers, service providers, and visitors Requirements:
Desired Candidate Profile
2+ years' experience preferred
• Bachelor’s degree in business administration or related field
• Strong communication, customer service & problem-solving skills
• Excellent organization, planning & time management
• Arabic and English speaking
• Good computer skills (Zoho, MS Office, ticketing systems)
