Job Description

Roles & Responsibilities

Role Objective:

  • Oversee all administrative functions including governmental relations.
  • Oversee all the governmental portals such as MOL, GOSI, QIWA,...ETC.
  • Develop, implement, and maintain administrative policies and procedures that enhance productivity, streamline workflows, and ensure compliance with company standards and Saudi government regulations.
  • Supervise, guide, and train administrative staff to ensure effective performance, continuous development, and delivery of high-quality support services.
  • Handle internal and external communications, including correspondence, meeting coordination, and organization of company events and documentation.
  • Monitor and manage administrative budgets, ensuring efficient use of resources and adherence to approved financial limits.
  • Ensure all office facilities and common areas are properly maintained, clean, and compliant with health, safety, and hygiene standards.
  • Manage the procurement, inventory, and maintenance of office supplies and equipment to support business operations.
  • Oversee transportation services, ensuring the safe and timely movement of company personnel and materials, and that vehicles are properly maintained and regularly serviced.
  • Maintain accurate records of vehicle mileage, fuel consumption, and maintenance activities, ensuring compliance with company and regulatory requirements.
  • Manage relationships with vendors and service providers to ensure quality and cost-effective delivery of administrative services.
  • Coordinate with various departments to provide effective administrative support and address any operational issues promptly.
  • Support the company s public relations activities by maintaining positive relationships with clients, stakeholders, and government entities.
  • Assist in preparing press releases, coordinating public and corporate events, and managing external communication when required.
  • Address inquiries, feedback, and complaints from clients or the public in a timely and professional manner.
  • Supervise employee attendance tracking and timekeeping, ensuring data accuracy and compliance with labor laws and company policies.
  • Prepare and verify attendance reports for payroll processing in coordination with the HR and Finance departments.
  • Support senior management with administrative tasks such as scheduling, documentation, report preparation, and meeting coordination.
  • Plan and manage manpower requirements for the administration division, and assist HR in recruitment, onboarding, and performance management of administrative staff.
  • Set goals and objectives for subordinates, delegate duties appropriately, and monitor progress toward achieving departmental targets.
  • Conduct performance evaluations, provide constructive feedback, and identify training and development needs for the administration team.
  • Promote a positive and collaborative work environment by encouraging teamwork, accountability, and professional growth.
  • Ensure compliance with company policies, Saudi labor laws, municipal regulations, and other relevant legal requirements across all administrative operations.
  • Prepare regular reports on administrative performance, budgets, and compliance status for management review.
  • Maintain accurate and updated documentation, records, and correspondence related to administrative operations and facilities.
  • Contribute to organizational effectiveness by continuously improving administrative systems, processes, and support services.

Desired Candidate Profile

Education: Bachelor s degree in business administration, Management, or Public Relations. A master s degree in a related field is a plus.

Experience: Minimum of 10 years of relevant experience in administration management, including at least 3 years in a supervisory or managerial role within Saudi Arabia.

Knowledge and Skills:

  • Strong understanding of Saudi administrative, labor, and government procedures.
  • Proven experience in office management, facilities coordination, logistics, and public relations.
  • Excellent communication, leadership, and interpersonal skills.
  • Strong organizational and problem-solving abilities with attention to detail.
  • Proficiency in Microsoft Office and ERP systems.
  • Fluency in English (Arabic proficiency preferred).

Preferred Background: Experience in construction or contracting sectors.
