Key Responsibilities:
• KHDA related tasks if needed – uploading and maintaining student files, contacting/follow up with parents for missing documents, TC requests, demotions, contacting KHDA for any queries, liaising with Compliance Rep (when required/on a case-by-case basis) etc.
• Prepare weekly admissions report and share it with the relevant team members when needed.
• Record meeting minutes and share with the relevant team members when needed.
• Redirect EE inquiries to the relevant team members.
• Maintain/update partnered corporate/nursery contracts/relocation companies (i.e., Renewals or edits)
• Assist Open Mornings, Stay and Play events, Coffee mornings i.e., ensure lead time of 2 weeks is followed on social media, and visibility of our brand through the event (brochures/other promotional giveaways), gentle reminder to the logistics team for set up/coordinate on that day for smooth running of the event. Capture all the events on social media platforms.
• Send out upcoming events/season’s greetings/camps and other promo material to all the HubSpot/iSAMS inquiries.
• Greet visitors, answer phones, respond to inquiries, and resolve issues based on established policies, making appropriate referrals as needed.
• Perform a wide variety of administrative tasks including data entry and the drafting, editing, and revision of meeting minutes, reports, and the Office of Admissions procedural manual.
• Organize and facilitate meetings and special events, schedule and coordinate dates and times, venues, attendance, agendas, and facility arrangements.
• Perform basic, routine bookkeeping functions relative to marketing materials.
• Prepare special reports, summaries, or replies to inquiries by compiling data and statistics.
• Assist in the development or upkeep of the departments’ websites.
• Represent the Office of Admissions when needed in outside events.
• Provide service excellence through courteous, informed, accessible and professional engagement.
• Perform other duties as assigned.
• Providing information regarding the admissions process and school policies to students, their parents, and other members of the community
• Reviewing applications to ensure that all required documents have been submitted.
• Screening applications for admission to determine which candidates should be interviewed
• Explaining application procedures and deadlines to prospective students and their parents
• Conducting interviews with applicants to determine their suitability for admission
• Coordinating admission events such as interviews or open houses
• Providing information about financial aid options and deadlines to prospective students and their parents
• Maintaining an inventory of brochures, pamphlets, and other materials related to the school’s programs and policies
• Reporting on student progress to teachers, counsellors, and other school staff
• Keeping track of staff learners and update the bursary list.
• Reach out to corporates and sign contracts to push enrolments
• Make sure all discount policies are applied and update when necessary
• Leavers and TC tracker up to date always
• Student Database all updated with all the requirements
• Parent handbook, parent contracts and welcome pack all to be related and updated properly.
Qualifications & Skills:
• Bachelor’s degree in Business Administration, Education, or a related field (preferred).
• Minimum 2–3 years of experience in school admissions or administrative roles.
• Strong knowledge of student admissions processes and UAE regulatory requirements (KHDA experience preferred).
• Proficiency in MS Office and school management systems (e.g., iSAMS, HubSpot).
• Excellent communication, interpersonal, and customer service skills.
• Strong organizational and time-management abilities with attention to detail.
• Ability to multitask, work under pressure, and maintain confidentiality.
