Job Description

Roles & Responsibilities

Strategic & General Responsibilities:

Lead the formulation and development of Administrative Services Department strategy and business plans, covering all areas of operations, and aligned to the IsDB strategy.

Lead and manage the development and implementation of appropriate systems, frameworks, approaches, processes, and guidelines to enable the Administrative Services Department to provide efficient services to IsDB Group.

Lead the preparation and finalisation of Department budget to ensure adequate manpower, materials and financial resources are available to achieve the agreed objectives.

Ensure development of a mechanism to gather feedback and measure effectiveness of the provision of administrative services to IsDB Complexes, Departments, Group entities and Regional Hubs.

Leadership Responsibilities:

Lead and manage a team of direct reports comprising Division / Section Heads within ASD and build personal credibility based on business acumen and insight, functional expertise, and consulting skills.

Provide motivational and inspirational leadership to direct reports in the ASD and communicate with them clear performance expectations.

Manage the performance and resources of department through delegation of responsibility, setting stretch objectives and providing regular feedback on results at a department level, promptly addressing areas of underperformance.

Monitors and assesses the skills and capabilities of the department, and determines the actions needed to increase the department's impact or to resolve capability gaps.

Coaches, mentors, and develops direct reports and the top talent/high potential in the department.

Acts as a role-model and communicates to the department s staff IsDBG's values and leadership competencies; provides direction and support in times of change.

Operational Responsibilities:

Ensure that all buildings, facilities, and infrastructure at the IsDB HQ and Regional Hubs are maintained up to the highest quality of industry standards and are kept in the best condition to provide an efficient and safe working environment to the employees to enable achieving IsDB s strategic objectives.

Lead the development of Enterprise Content Management (ECM) and Records Management (RM) strategies, policies, process, procedures, methods, and tools to serve business needs, enhance enterprise content and advise on building capacity within IsDB Group.

Ensure that IsDB s corporate (non-project) procurement meets internal clients requirements, in terms of quality, timeliness and cost-effectiveness, based on global best practices to fulfill the business objectives and to support IsDB strategic goals.

Ensure that all procurements are done with full transparency, following the set policies and procedures, at the best value, and that it is consistent with IsDB s high standards of ethics and corporate governance.

Oversee the development and regular updating of safety and security policies and procedures, as per international standards and ensure their proper implementation for the safety and security of staff, external visitors and assets of IsDB Group and the Regional Hubs.

Ensure cost-efficient and trouble-free business travel services being provided to the IsDB Group staff and VIP visitors by building long-term and fruitful partnerships with major vendors.

Ensure high quality and efficient protocol services to the top management of IsDB and VIP visitors and to continuously improve the services to bring it to the international standards.

Ensure efficient and cost-effective services to the IsDB Group in the areas of hotel and venue booking, event management, catering, and transportation to ensure smooth running of events and high-level satisfaction of all stakeholders.

Ensure that all organizational groups within IsDB are provided with a level of administrative services and support appropriate to their business requirements through a mutually agreed Service Level Agreement (SLA).

Desired Candidate Profile

Master's Degree in Business Administration, Engineering or any other related discipline.

Minimum 15 years of prior relevant experience, preferably in a multilateral development sector, handling multi-discipline functions.

Minimum 7 years of managerial experience.

Languages: English: Mandatory l Arabic: Mandatory l French: Preferred
