Roles & Responsibilities
Job Summary
We have a 4 month project and require a Document Controller to join who would be responsible for managing, organizing, and maintaining all project-related documentation in accordance with internal procedures and client requirements. The role ensures that all technical and administrative documents are accurately recorded, easily retrievable, and properly distributed to relevant stakeholders in a timely manner.
Key Responsibilities
- Establish and maintain a comprehensive document control system for project documentation.
- Receive, review, and log incoming project documents and correspondence (drawings, RFIs, material submittals, etc.).
- Ensure all documents are properly coded, formatted, and filed in accordance with company and client requirements.
- Maintain up-to-date records of all drawings, specifications, reports, and correspondence.
- Issue, track, and distribute controlled documents to relevant departments and project teams.
- Manage document revisions and ensure obsolete versions are clearly marked and removed from active circulation.
- Prepare and maintain document transmittals and submission logs for consultant and client approvals.
- Coordinate with internal departments to ensure timely submission of documents to clients, consultants, and subcontractors.
- Support audits, tender submissions, and compliance reviews by providing accurate documentation.
- Ensure document confidentiality, integrity, and accessibility in both electronic and hard-copy formats.
Desired Candidate Profile
- Diploma or Bachelor’s degree in Administration, Engineering, or related field.
- Minimum 3–5 years of experience in document control, preferably in the construction or landscaping industry.
- Proficiency in MS Office, Adobe Acrobat
- Strong organizational and time management skills with attention to detail.
- Excellent communication and coordination skills.
- Familiarity with ISO standards and QA/QC documentation procedures preferred.
