Job Description
Roles & Responsibilities
Manage day-to-day administrative and operational tasks to ensure smooth company operations • Organize, maintain, and track company documents, contracts, permits, and records (digital and physical) • Prepare professional emails, letters, reports, and official documents in Arabic and English • Coordinate meetings, calls, site visits, and business travel, including scheduling and logistics • Support logistics for meetings, site visits, and external appointments, including transportation coordination when required • Act as a primary point of contact with clients, suppliers, service providers, and government entities • Follow up on approvals, quotations, permits, and outstanding requests to ensure timely completion • Negotiate with suppliers and service providers on pricing, timelines, and terms within defined guidelines • Use computer systems, business software, and AI tools to draft documents, summarize information, and support daily tasks efficiently • Maintain structured digital filing systems and improve administrative processes where needed • Travel on short notice when required to support meetings, site visits, or company operations
Desired Candidate Profile
• Bachelor’s degree in Business Administration or a related field • Proven experience in an administrative, operations, or coordination role • Strong computer literacy with the ability to work independently without frequent technical support • Comfortable using business software (email, Word, Excel, file management) and AI tools (such as ChatGPT) as part of daily work • Excellent organizational, follow-up, and time-management skills • Strong communication and negotiation skills, with confidence in dealing with external parties • Ability to work independently with minimal supervision and handle multiple priorities • Fluent in Arabic and very good to fluent in English (spoken and written) • Possession of a valid driving license and access to a personal vehicle • Willing and able to travel at any time, including on short notice • Professional, reliable, detail-oriented, and comfortable handling confidential information
