Roles & Responsibilities

Key Responsibilities

  • Act as the coordination bridge between the Founder, leadership teams, and external stakeholders.
  • Track priorities, deadlines, and deliverables across multiple ventures, ensuring progress and accountability.
  • Proactively gather the right context for all decisions to be made, asking the questions that anticipate what the Founder needs to know.
  • Filter and prioritise information from all channels Slack, WhatsApp, email, shared dashboards so the Founder sees what truly matters.
  • Build concise overviews and summaries that translate complex inputs into clear actions and decisions.
  • Drive progress, not just track it. Follow up, problem-solve, and close the loop where needed.
  • Coordinate directly with department heads and partners to keep initiatives on track.
  • Prepare and proofread communications, presentations, and updates in fluent, professional English.
  • Tech-savvy and confident with software and AI tools (Google Workspace, Slack, Monday.com, Notion, ChatGPT, Otter): able to leverage them intelligently rather than relying on copy-paste output.

Social Media & Brand Alignment

  • Understand the Founder s social-media presence, tone, and public image.
  • Coordinate with the marketing and content team to ensure consistency between business communications and the Founder s personal brand.
  • Support in scheduling, coordinating, and occasionally organising podcast recordings or similar content initiatives.
  • Bring structure to creative processes by helping plan and align content ideas with current business priorities.
  • Be comfortable working within a content-driven environment and communicating effectively with creative and production teams.

Furthermore, you will uphold absolute confidentiality and professionalism in handling all business and personal matters, and you will occasionally assist with travel or personal coordination to keep the Founder s time, focus, and attention on the highest-impact priorities.

Desired Candidate Profile

Skills & Qualification

  • 3+ years of experience as an Executive Assistant or similar role within a founder-led or fast-growing organisation.
  • Proven ability to bring order, structure, and clarity to fast-moving operations.
  • Outstanding written and spoken English; able to communicate concisely.
  • Advanced organisational and multitasking skills; thrives on detail and follow-through.
  • Confident using productivity and collaboration tools such as Google Workspace, Slack, Monday.com, Notion, and AI-powered assistants.
  • Analytical yet people-oriented able to interpret numbers, systems, and personalities with equal fluency.
  • Self-driven, proactive, and comfortable interacting with senior leaders and external stakeholders.
  • Understanding of Dubai s business culture or previous UAE experience is an advantage.

As the Executive Assistant to the Founder & CEO, you will be the central link ensuring focus, clarity, and execution across multiple ventures, including SmartStay (hospitality and property management), BNB IN DUBAI (education, community and social media presence), and related real-estate-focused software ventures.

This role requires a strategic, exceptionally organised professional who can simplify complexity and enable fast, informed decisions. You ll work directly with the Founder to filter and structure information from internal teams and external partners, including investors, landlords, and key clients. You ll coordinate communication, track priorities, drive progress, and ensure that every decision is made with complete context.
