Facility Manager – Transport, Accommodation & Maintenance Company Type: Outsourcing / Facilities Management Services Job Summary The Facility Manager is responsible for managing and coordinating transport operations, staff accommodation, and maintenance services for outsourced employees. The role ensures safe, compliant, and cost-effective operations while maintaining service quality, employee welfare, and client satisfaction. Key Responsibilities Transport Management Manage daily staff transportation, drivers and all company vehicles. Prepare and monitor transport routes, schedules, and trip plans as per client requirements. Ensure vehicle availability, preventive maintenance, and breakdown support. Monitor driver attendance, licenses, permits, and compliance with traffic regulations. Control fuel usage, mileage, GPS tracking, and transport-related costs. Investigate transport incidents, accidents, and complaints and implement corrective actions. Accommodation Management Oversee staff accommodation facilities including camps, flats, or shared housing. Ensure accommodation meets company standards, client requirements, and local authority regulations. Ensuring all Annual Maintenance Contracts (AMCs) are up to date involves a proactive approach to monitoring, renewing, and executing service agreements. Coordinate room allocation, occupancy control, and accommodation moves. Manage housekeeping, security, waste management, and common area upkeep. Handle employee accommodation complaints and welfare issues in coordination with Management. Maintenance Management Manage preventive and corrective maintenance for accommodation and transport facilities. Oversee MEP, HVAC, electrical, plumbing, civil, and general maintenance works. Ensure timely repairs and minimal downtime of facilities and assets. Maintain maintenance schedules, logs, checklists, and asset registers. Coordinate with external vendors and contractors for specialized works. Vendor & Contract Coordination Manage transport, accommodation, and maintenance vendors. Verify work completion, service quality, and vendor invoices. Ensure vendors comply with contractual, safety, and legal requirements. Health, Safety & Compliance Ensure compliance with HSE standards, local laws, and authority regulations. Conduct safety inspections, risk assessments, and toolbox talks. Ensure valid permits, licenses, vehicle registrations, and accommodation approvals. Investigate incidents and implement corrective and preventive actions. Financial Monitor budgets related to transport, accommodation, and maintenance. Control costs, reduce wastage, and identify efficiency improvements. Prepare monthly reports on transport usage, accommodation occupancy, and maintenance activities. Maintain accurate documentation and records. Team Management & Coordination Supervise transport supervisors, accommodation supervisors, drivers, and maintenance teams. Plan duty rosters, manpower allocation, and replacements. Ensure staff training, induction, and discipline in coordination with HR.
