Roles & Responsibilities
Job Summary
The Operations Executive supports the day-to-day running of property management activities across residential, commercial, or mixed-use properties. The role ensures smooth building operations, efficient vendor coordination, prompt issue resolution, and strong customer service to tenants and owners. The Operations Executive also assists with compliance, reporting, maintenance planning, and overall operational improvements.
Key Responsibilities
1. Property Operations & Administration
- Assist in the daily operational management of assigned properties.
- Monitor building conditions through regular inspections of common areas, facilities, and equipment.
- Maintain accurate property records, service logs, permits, and compliance documentation.
- Assist with preparation of budgets, reports, and operational plans.
2. Vendor & Contractor Coordination
- Coordinate with maintenance teams, contractors, and service vendors (cleaning, security, landscaping, M&E, etc.).
- Track service delivery, ensure work quality, and follow up on outstanding tasks.
- Process work orders, quotations, invoices, and contract renewals.
3. Maintenance & Facilities Support
- Respond to maintenance issues from tenants, owners, or building staff and ensure timely resolution.
- Assist in scheduling preventive maintenance and statutory inspections.
- Follow up on corrective actions and ensure compliance with safety and building regulations.
4. Tenant & Owner Relations
- Serve as a point of contact for tenants / residents regarding operational matters.
- Handle inquiries, complaints, and requests professionally and promptly.
- Support move-in/move-out processes and onboarding of new tenants.
5. Compliance & Safety
- Ensure all building operations comply with local regulations, fire safety standards, and property policies.
- Support safety audits, emergency drills, and risk assessments.
- Maintain proper documentation for regulatory inspections.
6. Reporting & Documentation
- Prepare daily, weekly, or monthly operational reports.
- Track key performance indicators such as maintenance response time, service levels, and vendor performance.
- Assist the Operations Manager in operational planning and improvement initiatives.
Desired Candidate Profile
- Diploma or Bachelor’s degree in Property Management, Facilities Management, Business Administration, or related field.
- At least 5 years of experience in property or facilities management
- Strong communication, coordination, and customer service skills.
- Basic knowledge of building systems (M&E, safety, cleaning, security).
- Proficiency in MS Office .
- Ability to multitask and work independently with attention to detail.
