Job Description

Roles & Responsibilities

We are seeking a hands-on, highly organized Personal Assistant to support the founder of a boutique luxury interior design studio.
This is a trusted support role, combining business administration, schedule coordination, and light personal assistance.
This is not a remote role and not a junior admin position. Candidate must be comfortable working closely with an executive and handling confidential matters.
CORE RESPONSIBILITIES
        • Calendar and schedule management, reminders, and follow-ups
        • Managing emails, messages, and basic correspondence
        • Coordination with suppliers, consultants, and internal team
        • Document organization, task tracking, and admin follow-through
        • Studio support: couriers, printing, material/sample organization
        • Visa renewals, licenses, and official paperwork coordination
        • Booking appointments, travel logistics, airport transfers
        • Expense tracking and basic admin records
        • Personal and family logistics coordination, including:
        • Medical appointments (adults and children)
        • School coordination and extracurricular schedules
        • Coordination with drivers, nannies, and household staff
        • Insurance matters (family, pets, vehicles)
        • Travel arrangements and airport transfers
        • Arranging purchases and services when required

MUST-HAVE REQUIREMENTS (DO NOT SUBMIT WITHOUT THESE)
        • Currently based in Dubai
        • Previous experience as PA / EA / Executive Assistant / Admin Coordinator
        • Fluent English (spoken and written)
        • Full-time, in-person availability
        • Organized, discreet, calm under pressure
        • Comfortable supporting both business and personal tasks
        • FEMALE

STRONG ADVANTAGES
        • Experience supporting a founder, CEO, or business owner
        • Spanish and/or Russian language skills
        • Driving license
        • Experience of work in Dubai (at least a year) is a big advantage

NOT SUITABLE FOR
        • Candidates seeking remote or hybrid-only roles
        • Junior fresh graduates with no PA/admin experience
        • Candidates unwilling to handle personal coordination tasks
        • Candidates outside Dubai
        • Not available IMMEDIATELY

Desired Candidate Profile

  • High school diploma or equivalent is required, Bachelor's degree preferred.
  • Fluency in English is required; proficiency in additional languages (e.g.Russian, Spanish) is a plus.
  • Excellent written and verbal communication skills, with the ability to communicate professionally and effectively with individuals at all levels.
  • Must have a valid driving license
  • Experience of work in Dubai (at least a year) is a big advantage
