Job Description

Roles & Responsibilities

  • Provide quick, efficient and reliable services for all Government related jobs such as Employment Permits, Entry Visas, Medical Examinations,

  • Management of all employment visas, emirates ID, labour permits, medical insurances and company related licenses.

  • Coordinate with Typing Center for Preparation of Employment contracts, Emirates ID, Work Permit, Cancellation

  • Type, Manage, and Track all Online Applications on the E Government Sites – Employment, Visit Visa, Mission visa, Dependents Visa, Trade Licenses, Registrations etc.

  • Ensure all Emirati employees are registered with the Pension Authorities.

  • Schedule employee’s Visa Renewal, OHC Renewal, Emirates ID, Passport Renewal.

  • Ensure Transport is arranged for group medical testing

  • Coordinate for CCTV Renewals

  • Administer the Passports of Employees

  • Maintain and update database of all documents in SAP

  • Provide expert advice to business and employees on all visa formalities and all other gov’t related procedures.

  • Should have good admin knowledge and dealt with Government officials

  • Responsible for coordinating and liaising between the company and Government organizations/authorities and agencies

  • Accountable in maintaining accurate records

  • Should have an experience working with below entities;

  • Minister of Human Resources and Emiratization

  • General Directorate of Residency and Foreigners Affairs

  • Minister of State for Foreign Affairs

  • Department of Economic Development

  • UAE Ministry of Health

  • UAE Ministry of Interior and Police Departments

  • Dubai Courts

  • Ministry of Civil Defense

  • Own the Immigration and Compliance Audit for GCC

  • Must follow and ensure compliance with company policy and procedure for processing of / delivery of assigned services.

  • Organize Business Visas for employees from the different consulates.

  • Organize and manage periodic renewal of all trade licenses and government registrations.

  • Timely Track, Organize and Manage periodic visa renewals of all employees

  • Assist with general queries related the labor and immigration.

  • Represent the company at locations such as the Police Stations, Free Zones, Labour, Immigration, and Ministries etc.

  • Be vigilant to capture and record any new changes and updates and accordingly communicate the same to the HR Shared Services Manager.

  • Manage and handle all petty cash on hand, by submitting bills in a timely manner.

  • Maintain and keep up to date all employee folders existing and leavers, update in SAP HR with all relevant information on visa expiry, WPS etc.

  • Handle with care all confidential information like salaries, and documents like passport, certificates etc., and all petty cash on hand.

  • Ensure all monthly reports are submitted on time.

Desired Candidate Profile

  • Bachelor’s Degree in any field with minimum UAE PRO experience of 2 years.

  • Knowledge of SAP, Peoplesoft, SuccessFactors and Inhouse HRIS tools on managing HR Related transactions.

  • Knowledge on DHA and HAAD

  • Knowledge on GCC Health and Workmen Compensation desirable but not mandate

  • Good Negotiation Skills

  • Good Working Knowledge on MS Excel with basic formulas and record maintenance

  • Excellent in Verbal and Written Communication

  • Must be fluent in Arabic

  • Must have a valid UAE driving license
