Job Description

Roles & Responsibilities

  • Liaise with suppliers to coordinate deliveries, resolve any discrepancies, and ensure the quality of delivered goods meets specifications.
  • Conduct regular inspections of delivered goods to verify quantity, quality, and condition, reporting any issues to the procurement team.
  • Assist in the preparation of procurement documentation, such as purchase orders, requests for quotations, and supplier evaluations.
  • Obtain quotations from suppliers for various items, comparing prices and terms to identify the best value for the organization.
  • Handle the collection and distribution of internal and external mail, documents, and packages related to procurement operations.
  • Provide support to the procurement team in administrative tasks such as filing, data entry, and report generation.
  • Monitor and track the status of purchase orders, proactively following up with suppliers to ensure timely delivery.
  • Maintain a clean and organized workspace, including the storage of procurement-related documents and materials.

Desired Candidate Profile

  • High school diploma or equivalent is required; a diploma in business administration or a related field is preferred.
  • No specific nationality preference; open to candidates from diverse backgrounds.
  • Possess at least 1-2 years of experience in a procurement or logistics-related role, demonstrating familiarity with procurement processes.
  • Fluent in English; proficiency in additional languages relevant to key suppliers is an advantage, such as Arabic or Mandarin.
  • Proficient in using Microsoft Office Suite (Word, Excel, Outlook); experience with ERP systems is beneficial.
  • Demonstrates strong organizational and time-management skills; capable of prioritizing tasks and meeting deadlines effectively.
  • Possesses excellent communication and interpersonal skills; able to interact professionally with suppliers and internal stakeholders.
  • Displays a proactive and detail-oriented approach; consistently ensures accuracy in all tasks and records.
  • Exhibits a strong work ethic and a willingness to learn and adapt to changing priorities and procedures.
  • Must have the physical ability to lift and carry materials, packages, and documents; a valid driver's license may be required.
