Job Description
Roles & Responsibilities
- Front Desk Management: Handle all day-to-day reception operations with professionalism.
- Client Greeting: Welcome visitors, clients, and partners; ensure a positive first impression.
- Call Handling: Manage the switchboard, answer incoming calls, route them appropriately, and take accurate messages.
- Visitor Coordination: Maintain visitor logs and notify concerned employees.
- Meeting & Appointment Coordination: Manage meeting room bookings and ensure rooms are prepared and presentable.
- Courier & Mail Handling: Manage all incoming/outgoing courier, mail, and documents; track deliveries and coordinate with internal teams.
- Front Office Administration: Maintain reception cleanliness, monitor pantry items, stationery supplies, and office inventory.
- Document & Admin Support: Assist with scanning, filing, printing, and other general administrative tasks.
- Departmental Support: Perform additional administrative tasks assigned by any department, ensuring timely and accurate completion.
- Compliance & Confidentiality: Follow company policies and maintain confidentiality at all times.
- General Support: Assist HR/Operations with routine duties and support internal events or audits when needed.
Desired Candidate Profile
- Prior experience as a receptionist/front office executive; insurance or financial services experience preferred.
- Excellent communication and interpersonal skills.
- Professional appearance with a customer-focused attitude.
- Proficient in MS Office; comfortable with multi-line phone systems.
- Organized, detail-oriented, and able to multitask in a fast-paced environment.
- Fluent in English
