Job Description

Roles & Responsibilities

1. Administrative Support: Provide comprehensive administrative assistance to senior management, including scheduling meetings, managing calendars, and handling correspondence.

2. Document Management: Prepare, organize, and maintain documents, reports, and records, ensuring accuracy and confidentiality.

3. Communication: Act as the first point of contact for internal and external stakeholders, managing phone calls, emails, and inquiries professionally.

4. Meeting Coordination: Arrange meetings, prepare agendas, take minutes, and ensure follow-up on action items.

5. Office Operations: Oversee daily office activities, including managing supplies, coordinating with vendors, and maintaining a tidy workspace.

6. Data Entry: Accurately input and update data in company systems, ensuring timely and error-free record-keeping.

7. Travel Arrangements: Organize travel itineraries, accommodations, and visa requirements for staff as needed.

8. Event Support: Assist in planning and coordinating company events, training sessions, or client meetings.

9. Compliance: Ensure adherence to company policies and procedures, including maintaining confidentiality of sensitive information.

10. Team Support: Collaborate with departments to streamline workflows and provide administrative support for projects as required.

11. Any other related work as assigned by line manager.


Desired Candidate Profile

• Diploma or bachelor’s degree in Business Administration or related field.

• Minimum of 1-3 years of experience as a secretary or admin executive, preferably in the UAE.

• Advanced computer and MS Office (Word, Excel, PowerPoint) and office management software.

• Excellent organizational, multitasking, and communication skills.

• Fluency in English; Arabic is a plus.

• Professional demeanor and strong interpersonal skills.
