Job Description
Roles & Responsibilities
Ensure the proper receive, count and verify the documents from Documentation Unit as per check list.
Creation of Account/Document in TIMS and ensure feeding the document details accurately in the system “TIMS” for future records.
Sort and scan documents to the appropriate folders in the system in order to ensure proper filing of all facility / security / source documents in to the respective slots in the customer folders.
Keep note of details of documents missing, pending, deferred etc. in the database/system for further action.
Update / modify data of documents with renewal / replacement etc.
Generate system reports daily for audit trial and distribute to the Documentation Officers for review and sign off.
Ensure proper keeping of customer folders in the fire proof cabinet kept under the dual custody of Documentation Officers / Managers.
Archive/Delete old / obsolete documents from the system so as to maintain updated information and to maintain proper records, file details etc. enabling easy retrieval of files. .
Co-ordinate with Documentation Officers for listing and sending old and obsolete documents / folders to the Store.
Monitor File movement records by ensuring obtaining receiver’s signature on the card, track for its return, and ensure the files are received back and kept in the fire-proof cabinet allocated.
Administer the stationery and other logistic requirements of the department by initiating request in AMS for required stationery, furniture, equipment etc. and its follow-up and proper distribution.
