Job Description

Roles & Responsibilities

    Office Management

  1. Receive and screen incoming calls, visitors, correspondence, and reports; determine which are priority matters and alert the GCEO accordingly.

  2. Act as the first point of contact for internal and external clients and business partners; therefore, expected to present a professional impression of the Company.

  3. Draft high-level letters, reports, memoranda, or communiqués in response to incoming correspondence on behalf of the GCEO.

  4. Make domestic and international travel arrangements; prepare itineraries and accommodation logistics while maintaining all travel records.

  5. Establish and maintain various filing and records management systems.

  6. Conference room management: booking, arranging supplies, and refreshments.


Executive Management Support

  1. Coordinate and manage the calendar and diary to arrange appointments, meetings, and conferences as required.

  2. Provide briefs before any upcoming scheduled meetings.

  3. Prepare agendas and collect materials for meetings and conferences; take minutes and keep records of proceedings as required.

  4. Responsible for transcribing, performing reviews, proofreading, and editing documents prepared.

  5. Provide support on office projects and processes and offer strategic counsel where appropriate.

Desired Candidate Profile

  1. High level communication skills (verbal, written and visual) in English are a must.

  2. Experience in managing multiple priorities, administrative coordination, and logistics.

  3. Well organized, detail-oriented, ability to multi-task with great follow-ups skills.

  4. Proficiency in office applications and IT skills.

  5. Excellent judgement is essential.

  6. Admirable time management skills.
