Roles & Responsibilities

Job Title: Engineering Coordinator AMCs & Maintenance

Reports to: Engineering Director

Department: Engineering

Division: Repair & Maintenance

Location: Dubai, United Arab Emirates


Job Purpose

Provide essential administrative and technical support to ensure the smooth and efficient operation of engineering projects and daily maintenance activities.

This role works closely with multiple teams and plays a central role in maintaining project timelines, quality standards, and effective communication across engineering and maintenance operations.

Key Responsibilities
Project Coordination & Support
  • Coordinate activities across engineering disciplines and inter-departmental teams.
  • Support planning, design, and project development to ensure timely and high-quality delivery.
  • Analyse and forecast development requirements to support strategic and operational decisions.
  • Provide bid and tender support.
  • Manage the engineering team s calendar and daily schedules.
  • Oversee logistics and daily operational planning.
Technical & Administrative Assistance
  • Carry out technical administration activities related to engineering delivery.
  • Prepare quotations, invoices, and maintenance documentation.
  • Manage work orders and customer communication.
  • Ensure projects, systems, and procedures comply with internal policies and external regulations.
  • Assist technicians with daily equipment inspections and maintain logs and reports.
  • Provide procurement and material support to technicians.
  • Manage back-end support for Annual Maintenance Contracts (AMCs).
Reporting & Communication
  • Prepare operational metrics and reports for the Engineering Director.
  • Track and communicate project progress.
  • Conduct end-of-day reporting and follow up on confirmed bookings.
  • Brief technicians prior to job assignments.
  • Coordinate with sales, accounts, and site teams to ensure seamless operations.
Human Resources & Process Improvement
  • Provide HR-related support for engineering staffing.
  • Monitor staff leave and overtime and maintain daily data sheets.
  • Develop and implement improvements to service delivery and internal processes.
  • Manage internal and external development resources in the UAE and other locations.
Skills & Experience
  • Strong organisational and administrative skills with the ability to manage multiple tasks.
  • Excellent attention to detail for accurate documentation and data entry.
  • Clear verbal and written communication skills.
  • Strong problem-solving and decision-making abilities.
  • Technical proficiency in Microsoft Office Suite and Zoho CRM.
  • Previous experience in an administrative or coordination role within an engineering or maintenance environment.
  • Proven ability to manage calendars, reports, and workflows in a fast-paced environment.
