Roles & Responsibilities

Job Summary:

We are seeking a versatile, organized and proactive Executive Assistant & Client Coordinator to support our Middle East operations. The role involves client communication, office coordination, basic social media support and operational assistance. This position is essential during the setup and growth phase of our regional office.

Key Responsibilities:

  • Handle client communication, follow-ups and coordination activities.
  • Welcome visitors, partners and suppliers while maintaining a professional front-office presence.
  • Schedule appointments and support management with day-to-day communication.
  • Manage general office administration and ensure smooth daily operations.
  • Coordinate with suppliers, logistics partners and service providers.
  • Check and assist with incoming and outgoing shipments (basic level).
  • Support management when traveling or abroad.
  • Manage simple updates on Instagram and LinkedIn.
  • Prepare small content pieces (photos, short captions).
  • Coordinate with external designers or marketing partners when needed.
  • Prepare basic Excel sheets, reports and documentation.
  • Assist in preparing offers, presentations and templates.


Desired Candidate Profile

Requirements:

  • Very good English communication skills (spoken & written).
  • Experience in Administration, Executive Assistance, Office Support or Client Relations.
  • Strong organizational skills and ability to work independently.
  • Professional presence, reliability and accountability.
  • Ability to take responsibility without constant supervision.

Preferred Qualifications:

  • Knowledge of social media tools (Instagram/LinkedIn).
  • Experience in logistics coordination or customer service.
  • Background in industrial or technical environments is a plus.
  • Additional languages such as Arabic, Tagalog, Hindi or Russian.
  • Valid UAE driving license.
