Job Description

Roles & Responsibilities

  • Manage calendars, meetings, appointments, travel arrangements, and executive correspondence with strict confidentiality.

  • Coordinate operational and leadership meetings: prepare agendas, circulate materials (24 hrs in advance), record minutes, and track action items.

  • Draft, review, format, proofread, and manage professional correspondence, reports, presentations, and internal communications.

  • Prepare operational reports, dashboards, KPI summaries, board packs, and management presentations.

  • Support operational and project initiatives by gathering data, tracking progress, and preparing timely updates.

  • Assist with project documentation including briefs, charters, progress reports, and approval memos.

  • Maintain organized electronic and physical filing systems.

  • Liaise with internal teams, external partners, and government entities when required.

  • Ensure timely delivery of reports, reviews, and operational support for the Head of Operations.

  • Handle sensitive information with discretion and represent leadership professionally.

  • Perform general administrative support and other assigned duties.

Desired Candidate Profile

Education & Experience

  • Bachelor’s degree in Business Administration, Management, or related field.

  • Project and time management certifications are an advantage.

  • Minimum 5 years of experience as an Executive Assistant or similar role.

  • Experience supporting senior leaders, preferably in operations or project-driven environments.

  • Knowledge of government communication and procedures is a plus.

Skills & Competencies

  • Excellent organizational, time-management, and multitasking skills.

  • Advanced proficiency in MS Word, Excel, PowerPoint, and Outlook.

  • Strong written and verbal communication skills in English.

  • Ability to work under pressure and manage multiple priorities.

  • Arabic typing and drafting skills are desirable.
