Job Description
Roles & Responsibilities
Manage calendars, meetings, appointments, travel arrangements, and executive correspondence with strict confidentiality.
Coordinate operational and leadership meetings: prepare agendas, circulate materials (24 hrs in advance), record minutes, and track action items.
Draft, review, format, proofread, and manage professional correspondence, reports, presentations, and internal communications.
Prepare operational reports, dashboards, KPI summaries, board packs, and management presentations.
Support operational and project initiatives by gathering data, tracking progress, and preparing timely updates.
Assist with project documentation including briefs, charters, progress reports, and approval memos.
Maintain organized electronic and physical filing systems.
Liaise with internal teams, external partners, and government entities when required.
Ensure timely delivery of reports, reviews, and operational support for the Head of Operations.
Handle sensitive information with discretion and represent leadership professionally.
Perform general administrative support and other assigned duties.
Desired Candidate Profile
Education & Experience
Bachelor’s degree in Business Administration, Management, or related field.
Project and time management certifications are an advantage.
Minimum 5 years of experience as an Executive Assistant or similar role.
Experience supporting senior leaders, preferably in operations or project-driven environments.
Knowledge of government communication and procedures is a plus.
Skills & Competencies
Excellent organizational, time-management, and multitasking skills.
Advanced proficiency in MS Word, Excel, PowerPoint, and Outlook.
Strong written and verbal communication skills in English.
Ability to work under pressure and manage multiple priorities.
Arabic typing and drafting skills are desirable.
