Roles & Responsibilities

About the Role: Seeking a detail-oriented and professional to join the real estate team. This role combines front office management, administrative support, and property listing coordination. The ideal candidate will be well-presented, highly organized, and skilled in managing real estate contracts, listings, and documentation, while also delivering excellent client service at the reception.

Key Responsibilities:

Front Office & Administration

  • Manage all incoming calls on the company’s main line and ensure prompt, professional responses.
  • Welcome and assist clients, visitors, and partners, maintaining a high standard of customer service.
  • Oversee reception area and ensure it remains professional and presentable at all times.
  • Manage and organize the CEO’s calendar, appointments, and meetings.
  • Coordinate internal and external meetings, including scheduling, room bookings, and logistics.
  • Assist the sales team with drafting agreements, maintaining records, and handling correspondence.

Property Listings & Documentation

  • Prepare, manage, and maintain property listings across multiple portals and company platforms.
  • Ensure accurate and up-to-date property details, photos, floor plans, and descriptions are published.
  • Coordinate with agents, property owners, and photographers to gather information and visuals.
  • Draft and review listing agreements, contracts, and compliance documents in line with real estate regulations.
  • Monitor property performance online and optimize listings for maximum visibility and lead generation.
  • Provide regular reports on listing activity, inquiries, and updates to management.
  • Assist in preparing property brochures, presentations, and other marketing materials.
  • Handle client inquiries regarding listed properties and direct them to the relevant sales agents.
  • Maintain a property database, ensuring timely updates for sold, leased, or withdrawn listings.

Desired Candidate Profile

  • Immediate joiners highly preferred
  • Proven experience in a real estate Industry is mandatory.
  • Bachelor’s degree.
  • Experience: 1–2 years - preferably within the real estate industry in the UAE.
  • Knowledge: Familiarity with DLD regulations, RERA forms, and end-to-end real estate transaction documentation.
  • Technical Skills: Proficiency in CRM systems (e.g., PropSpace, Salesforce), MS Office Suite, and real estate listing portals (Bayut, Dubizzle, Property Finder).
  • Communication: Excellent written and verbal communication skills in English. Additional languages (Urdu, Hindi, Arabic) are a plus.
  • Soft Skills: Highly organized, detail-oriented, proactive, and able to handle multiple tasks under pressure with a positive attitude.
  • Customer Focus: Professional demeanor with a client-first mindset, comfortable interacting with high-net-worth individuals and corporate clients.
