Job Description

Roles & Responsibilities

Key Responsibilities

  • Manage end-to-end recruitment for warehouse, sales, accounts, and other departments.
  • Prepare job postings and coordinate with department heads for manpower needs.
  • Screen and shortlist candidates, schedule interviews, and assist management in final selection.
  • Oversee visa processing, medical formalities, and onboarding documentation.
  • Conduct employee orientation and ensure all staff understand company policies and job responsibilities.
  • Maintain employee files with updated documentation, including passport, visa, and contract details.

2. Employee Relations & Welfare

  • Address employee queries and grievances in coordination with management.
  • Organize employee engagement activities to enhance motivation and retention.
  • Maintain records for staff accommodation and ensure facilities are well-managed.
  • Support the Managing Director in handling disciplinary issues, warnings, or termination cases.
  • Ensure smooth coordination for family visa or leave processing requests.

3. Payroll & Benefits Administration

  • Coordinate with the Accounts Department to ensure timely and accurate salary processing.
  • Verify attendance, overtime, and leave data before payroll submission.
  • Track probation periods, salary revisions, and performance-based increments.
  • Maintain confidentiality of salary and employee information.
  • Manage end-of-service benefits, contract renewals, and staff settlements.

4. HR Systems & Documentation

  • Develop and maintain a digital and physical employee database.
  • Draft and implement HR policies, offer letters, and service agreements.
  • Introduce Standard Operating Procedures (SOPs) for HR activities (recruitment, leave, onboarding, etc.).
  • Prepare and circulate monthly HR reports to management (attendance, turnover, hiring status).
  • Support transition from manual systems (WhatsApp-based reporting) to structured HR processes.

5. Training & Performance Management

  • Coordinate with department heads to identify training needs.
  • Organize internal and external training sessions for employees.
  • Maintain training records and track employee skill improvements.
  • Support performance appraisals and maintain evaluation documentation.

6. Compliance & Policy Implementation

  • Ensure all HR practices comply with Oman labour laws and company policies.
  • Keep updated employee visa and labour card records.
  • Assist management in implementing workplace health and safety measures.
  • Maintain compliance for inspections or audits related to HR and labour.

Key Skills & Competencies

  • Strong communication and interpersonal skills.
  • Ability to handle confidential employee data responsibly.
  • Good organizational and multitasking abilities.
  • Proficiency in MS Office, especially MS Office.

Qualifications and Experience

  • Masters Degree in Human Resource Management, Business Administration, or related field.
  • Minimum 2 to 3 years of HR experience.
  • Knowledge of HR functions and labor laws.
  • Experience with HRIS and payroll systems preferred.
