Roles & Responsibilities
Job Summary: We are seeking a detail-oriented and proactive Operations Executive with a strong inclination towards Health, Safety & Environment (HSE) and documentation management. The ideal candidate will support vessel operations, ensure compliance with ISM Code and statutory requirements, and assist in audits and inspections. This role requires excellent organizational skills, familiarity with maritime documentation, and a collaborative mindset to work closely with crew and internal departments. Key Responsibilities: ISM & Documentation Management Maintain and update ISM Code documentation, certificates, and records for assigned vessels. Assist in preparing, circulating, and filing safety-related documents, procedures, and manuals. Monitor statutory and class certificates, flag state documents, and ensure timely renewals. Manage document control systems and electronic records to support internal and external audits. Operational Support Support the Senior Operations Executive in daily vessel operations and compliance monitoring. Review vessel reports and escalate operational or safety issues as needed. Liaise with vessel crew to provide administrative and logistical support. Track and report operational KPIs including incidents, near-misses, and safety drills. Audit & Inspection Assistance Coordinate vessel inspections and audits (Class, Flag, Port State, Oil Major, etc.). Prepare documentation and checklists for audits and inspections. Monitor audit findings and ensure timely closure of corrective actions. Administrative & Reporting Duties Provide administrative support to Operations and HSE departments. Maintain accurate records, correspondence, and reports. Assist in preparing presentations and reports for management and safety meetings. Qualifications & Skills: Diploma or Degree in Maritime Studies, HSE, or related field. 2–3 years of experience in vessel operations or HSE documentation. Familiarity with ISM Code, maritime certificates, and audit processes. Strong organizational and communication skills. Proficiency in MS Office and document management systems.
Desired Candidate Profile
Education: Diploma in Shipping/Maritime/QHSE. Experience: 0–2 years of experience in ship management, marine operations, or HSE-related roles (fresh graduates with internship experience may be considered).
Knowledge & Skills: Must have understanding of ISM Code, ISPS, MARPOL, SOLAS, and other international maritime regulations. Familiarity with vessel documentation, statutory and class certificates. Strong organizational and documentation skills. Proficiency in MS Office (Excel, Word, PowerPoint, Outlook). Good communication and coordination skills with multinational crew and office staff. Attention to detail and ability to follow through on assigned tasks.
