Job Description
Roles & Responsibilities
Office Admin will provide administrative, reception, and leasing support to ensure smooth and efficient day-to-day office operations. The role includes handling front-desk responsibilities, assisting with new leasing and renewal processes, managing CRM data entry, maintaining organized filing systems, and supporting general office tasks.
Key Responsibilities
Reception & Front-Desk Management
- Act as the first point of contact for visitors and callers.
- Answer, screen, and direct incoming calls professionally.
- Welcome visitors, manage visitor logs, and coordinate meeting room bookings.
- Handle incoming and outgoing mail and courier services.
Leasing Support
- Assist leasing team with documentation for new leases and renewals.
- Prepare tenancy contracts, renewal notices, and other leasing-related documents.
- Coordinate with tenants regarding required paperwork and follow-ups.
CRM & Data Entry
- Accurately update and maintain tenant and lease information in the CRM system.
- Ensure data integrity and completeness of records.
- Generate reports as needed for leasing and management teams.
Office Administration & Filing
- Maintain physical and digital filing systems in an organized and accessible manner.
- Monitor and order office supplies and stationery.
- Support general administrative tasks and daily office operations.
Compliance & Coordination
- Ensure all documents meet company and regulatory standards.
- Coordinate with internal departments for administrative and leasing matters.
- Provide support during audits, inspections, or reporting requirements.
Desired Candidate Profile
- UAE National (with Family Book)
- Diploma or bachelor’s degree preferred.
- 1–3 years of experience in office administration or similar roles (fresh graduates accepted).
- Proficient in MS Office (Word, Excel, Outlook, PowerPoint). Power BI, Canva added advantage
- Strong communication and interpersonal skills.
- Organized, punctual, detail-oriented, and willing & able to manage multiple tasks.
