Job Description

Roles & Responsibilities

Office Admin will provide administrative, reception, and leasing support to ensure smooth and efficient day-to-day office operations. The role includes handling front-desk responsibilities, assisting with new leasing and renewal processes, managing CRM data entry, maintaining organized filing systems, and supporting general office tasks.

Key Responsibilities

Reception & Front-Desk Management

  • Act as the first point of contact for visitors and callers.
  • Answer, screen, and direct incoming calls professionally.
  • Welcome visitors, manage visitor logs, and coordinate meeting room bookings.
  • Handle incoming and outgoing mail and courier services.

Leasing Support

  • Assist leasing team with documentation for new leases and renewals.
  • Prepare tenancy contracts, renewal notices, and other leasing-related documents.
  • Coordinate with tenants regarding required paperwork and follow-ups.

CRM & Data Entry

  • Accurately update and maintain tenant and lease information in the CRM system.
  • Ensure data integrity and completeness of records.
  • Generate reports as needed for leasing and management teams.

Office Administration & Filing

  • Maintain physical and digital filing systems in an organized and accessible manner.
  • Monitor and order office supplies and stationery.
  • Support general administrative tasks and daily office operations.

Compliance & Coordination

  • Ensure all documents meet company and regulatory standards.
  • Coordinate with internal departments for administrative and leasing matters.
  • Provide support during audits, inspections, or reporting requirements.

Desired Candidate Profile

  • UAE National (with Family Book)
  • Diploma or bachelor’s degree preferred.
  • 1–3 years of experience in office administration or similar roles (fresh graduates accepted).
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint). Power BI, Canva added advantage
  • Strong communication and interpersonal skills.
  • Organized, punctual, detail-oriented, and willing & able to manage multiple tasks.
