Roles & Responsibilities

- OVERSEE DAILY OFFICE OPERATIONS, ENSURING THE OFFICE ENVIRONMENT IS WELL-ORGANIZED AND
FUNCTIONAL.
- HANDLE THE EMPLOYEE ONBOARDING AND OFFBOARDING PROCESSES FOR EMPLOYEES, INCLUDING
COMPLETING NECESSARY PAPERWORK, TRAINING NEW EMPLOYEES AND CONDUCTING ORIENTATION
SESSIONS IF NEEDED.
- ASSIST IN THE RECRUITMENT AND HIRING PROCESS BY POSTING JOB ADS, SCREENING RESUMES, AND
SCHEDULING INTERVIEWS.
- MAINTAIN UP-TO-DATE EMPLOYEE FILES, ATTENDANCE, HOURS AND RECORDS IN COMPLIANCE WITH LABOR LAWS AND COMPANY POLICIES.
- PROVIDE ADMINISTRATIVE SUPPORT TO LEADERSHIP, SUCH AS CALENDAR MANAGEMENT, MEETING
COORDINATION, AND DOCUMENT PREPARATION.
- ASSIST WITH PLANNING AND ORGANIZING COMPANY EVENTS AND TEAM BUILDING ACTIVITIES.
- ACT AS A CENTRAL POINT OF CONTACT FOR OFFICE COMMUNICATIONS AND FACILITATE SMOOTH
INTERACTION BETWEEN DEPARTMENTS AND MANAGEMENT.
- SUPPORT TRAVEL ARRANGEMENTS AND ACCOMMODATIONS FOR STAFF, EXECUTIVES, AND CLIENTS.
- HANDLE INCOMING AND OUTGOING CORRESPONDENCE, INCLUDING MAIL, EMAILS, AND PHONE CALLS.
- MANAGE DOCUMENTATION OF CONTRACTS, AGREEMENTS, AND OFFER LETTERS.
- TRACK THE TEAM LEAVE BALANCE AND MANAGE TIMESHEETS.
- HANDLE EMPLOYEE QUERIES REGARDING BENEFITS, AND LEAVE POLICIES AND HEALTH INSURANCE AND
OTHER EMPLOYEE NEEDS.
- MANAGE OFFICE SUPPLIES INVENTORY, EQUIPMENT, AND MAINTENANCE TO ENSURE SMOOTH.
- ENSURE OFFICE SPACE IS PROPERLY MAINTAINED AND HANDLE REPAIRS OR FACILITY UPGRADES IF NEEDED.
- MANAGE OFFICE SEATING PLANS, RENOVATIONS, AND WORKSPACE OPTIMIZATION FOR TEAMS.
- ENSURE EFFICIENT USE OF OFFICE RESOURCES AND MANAGE COST-SAVING INITIATIVES.
- ABILITY TO MAINTAIN CONFIDENTIALITY AND HANDLE SENSITIVE INFORMATION WITH PROFESSIONALISM.
- SUPERVISE ADMINISTRATIVE STAFF AND PROVIDE SUPPORT AS NEEDED.
- MAINTAIN OFFICE POLICIES AND PROCEDURES, AND ENSURE COMPLIANCE WITH COMPANY & HEALTH
STANDARDS.

- DRAFT, REVIEW, AND EDIT DOCUMENTS, REPORTS, AND PRESENTATIONS FOR THE CEO.
- PLAN AND COORDINATE THE CEO S TRAVEL ITINERARIES, INCLUDING BOOKING FLIGHTS, ACCOMMODATIONS AND TRANSPORTATION.
- MAINTAIN AND ORGANIZE THE CEO S FILES, DOCUMENTS, AND RECORDS.

Desired Candidate Profile

- BACHELOR S DEGREE IN HUMAN RESOURCES, BUSINESS ADMINISTRATION, OR A RELATED FIELD WITH 4 TO 8 YEARS OF EXPERIENCE.
- PROVEN EXPERIENCE IN AN HR ROLE, OFFICE MANAGEMENT, OR A SIMILAR ADMINISTRATIVE POSITION.
- EXPERIENCE IN THE ARCHITECTURAL OR DESIGN INDUSTRY IS A PLUS.
- FAMILIARITY WITH LABOR LAWS AND REGULATIONS RELATED TO HR PRACTICES, PAYROLL, AND EMPLOYEE RELATIONS.
- PROFICIENCY IN MICROSOFT OFFICE SUITE (WORD, EXCEL, POWERPOINT, OUTLOOK).
- EXPERIENCE WITH HR SOFTWARE (HRIS SYSTEMS) AND PAYROLL MANAGEMENT TOOLS.
- STRONG ORGANIZATIONAL SKILLS TO MANAGE MULTIPLE TASKS, PRIORITIZE, AND MEET DEADLINES.
- EXCELLENT VERBAL AND WRITTEN COMMUNICATION SKILLS FOR INTERACTING WITH EMPLOYEES,
MANAGEMENT, AND EXTERNAL PARTIES.
- STRONG ANALYTICAL AND DECISION-MAKING SKILLS FOR HANDLING EMPLOYEE RELATIONS AND OFFICE
MANAGEMENT ISSUES.
