Job Description

Roles & Responsibilities

  • Administrative management & office coordination
  • Ensure the smooth running of offices (reception, logistics, supplies, maintenance)
  • Manage relationships with local service providers (suppliers, general services, maintenance, telecoms, etc.)
  • Organize trips, meetings and internal events
  • Support the RAF in the management of administrative, tax and HR documents
  • Supervise the physical and digital archiving of documents (contracts, invoices, etc.)

Legal and para-legal support

  • Prepare, monitor and file legal documents related to external firms (contracts, NDAs, leases, formalities, etc.)
  • Assist in drafting, proofreading and updating customer, service provider and partner contracts
  • Ensure documentary compliance with local Dubai requirements (licenses, visas, authorizations)
  • Coordinate exchanges with local authorities, free zones and legal firms
  • Follow the calendar of legal events (renewals, audits, signatures)

HR & Recruitment Support

  • Help coordinate the recruitment process (interviews, onboarding, administrative follow-up)
  • Prepare hiring documents and manage visas and administrative registrations with HR partners
  • Participate in the implementation and monitoring of internal policies (leave, absences, compliance)

Synergy with the RAF and the Chief of Staff

  • Work closely with the RAF to ensure smooth management of financial and legal documents
  • Ensure the smooth transmission of information between operational, financial and HR departments Support the Chief of Staff in the overall coordination and implementation of internal processes

Desired Candidate Profile

Rigorous, autonomous and with excellent organizational skills. Able to work in a demanding, international and rapidly growing environment. Diplomatic, responsive and discreet, with a strong sense of confidentiality. Solution-oriented, with a proactive and structured approach. Comfortable in intercultural and professional communication.

Experience: 3-7 years of experience in Office Management, Executive Assistant, Legal or Paralegal. Ideally in an international company or entrepreneurial environment in Dubai. Experience in multi-country administrative coordination is a major asset.

Language skills: Native French essential. English at least Business level, written and spoken.

Technical skills: Excellent command of Microsoft Office / Google Workspace. Good knowledge of electronic signature tools (DocuSign, Dropbox Sign). Knowledge of document management and HR tools (Notion, Deel, Zoho People, etc.). Familiarity with legal and administrative procedures in the United Arab Emirates.

Career prospects: natural progression towards a role of Administration & Office Management Manager. Possibility of extending the missions to legal coordination and support to the General Management.
