Job Description
The role combines strong administrative support with project coordination to ensure smooth operations and successful project outcomes. The ideal candidate is detail-oriented, adept at multitasking, culturally aware of Middle Eastern business practices, and skilled in communication and time management.
This hybrid position (on-site and remote) is based in Dubai, UAE, and is open exclusively to UAE nationals.
Administrative Duties
- Manage daily office operations, including scheduling meetings, maintaining calendars, and coordinating travel arrangements across Middle Eastern time zones.
- Prepare, edit, and distribute documents, reports, and correspondence in English and, where applicable, Arabic.
- Maintain accurate records, databases, and filing systems, ensuring confidentiality and compliance with company policies and UAE regulations.
- Handle incoming and outgoing communications, including emails, phone calls, and inquiries, with cultural sensitivity to Middle Eastern stakeholders.
- Order and manage office supplies, ensuring inventory is well-stocked and cost-effective.
Project Management Duties
- Assist in planning, coordinating, and executing projects, ensuring alignment with organizational goals and timelines in the Middle East region.
- Track project progress, milestones, and deliverables, using project management tools (e.g., Trello, Asana, or Microsoft Project).
- Coordinate with cross-functional teams, including regional stakeholders, to ensure clear communication and task completion.
- Prepare project status reports and presentations for stakeholders and leadership, incorporating regional insights.
- Identify and mitigate potential project risks, escalating issues as needed, with awareness of regional challenges.
- Support budget tracking and resource allocation for projects, adhering to regional financial guidelines.
- Organize and facilitate project meetings, including preparing agendas and documenting minutes, accommodating Middle Eastern business customs
Desired Candidate Profile
Must be a UAE national, situated in Dubai.
Previous experience in administrative support and/or project coordination, preferably in the Middle East.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software.
Fluency in English and Arabic.
Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
Excellent written and verbal communication skills, with cultural sensitivity to Middle Eastern business practices.
Ability to work independently and collaboratively across diverse teams in the Middle East, both on-site and remotely.
High attention to detail and problem-solving skills.
Experience with budget management and resource planning in a regional context is a plus.
Project Management Professional (PMP) or similar certification is preferred but not required.
